Documentation Specialist
Job Summary
We are seeking an enthusiastic and detail-oriented Documentation Specialist to develop, manage, and maintain our client’s internal and client-facing documentation. The employee in this role will ensure the accuracy, accessibility, and security of company policies, procedures, knowledge, and resources. A primary responsibility of the Documentation Specialist is building and managing a structured internal resource library that centralizes critical company information. The Documentation Specialist will also support company-wide documentation initiatives—including presentations and content writing—while collaborating across departments to keep all materials current, relevant, and consistent.
Key Responsibilities
- Documentation Creation & Management
- Develop and update internal and external documentation, including company policies, procedures, manuals, project summaries, reference materials, and knowledge bases.
- Maintain and organize our client’s internal documentation library, ensuring materials remain accurate, up to date, and aligned with industry standards.
- Manage access control to ensure documentation is securely stored and accessible only to authorized individuals.
- Collaborate with a variety of departments, including Operations, Marketing, and Client Solutions, to gather information and validate content.
- Assist colleagues in creating, editing, and standardizing internal and external documentation, ensuring consistency and clarity of style and format.
- Support content writing for product sheets, presentations, blogs, newsletters, website content, user guides, and training materials.
- Process Improvement & Compliance
- Identify opportunities to enhance and streamline documentation practices and training processes across the company.
- Ensure all documentation complies with industry regulations, internal policies, and best practices.
- Stay informed about relevant industry standards and regulatory requirements to maintain best-in-class documentation processes.
Qualifications and Skills
- Education & Experience
- Bachelor’s degree in Communications, English, Technical Writing, Information Management, Business Administration, or a related field (or equivalent experience).
- Technical Proficiency
- Proficiency in Microsoft Office Suite, document management software, and content collaboration tools.
- Experience with content management systems (CMS) and version control practices is a plus.
- Core Competencies
- Writing & Communication: Demonstrated ability to create high-quality, clear, and concise documentation (writing samples required).
- Organizational
Skills:
Strong time management with attention to detail and accuracy, ensuring timely updates of key documents. - Collaboration & Adaptability: Proven ability to work effectively with cross-functional teams, synthesize diverse inputs, and adapt to evolving needs.
- Analytical Thinking: Skilled in analyzing and distilling complex concepts into understandable, accessible documentation for diverse audiences.
