Executive Assistant - Foundation (Hackensack Meridian Health)

The Executive Assistant reports to the HMH network executive(s) and relieves them of administrative functions in order to increase the time they have for executive‑level responsibilities.

Position is hybrid.

  • Assist with project work for strategic events and annual giving. Attend off‑site foundation events, which may include evenings.
Responsibilities
  • Schedule appointments, meetings or conferences for departmental personnel utilizing interdepartmental and/or hospital‑wide computerized scheduling systems.
  • Prioritize calls through screening, transfer calls, record messages and deliver to appropriate personnel.
  • Coordinate special projects as instructed, compose memos, transcribe notes, research and create presentations.
  • Generate reports, handle multiple projects and prepare and monitor invoices and expense reports.
  • Prepare and file routine and advanced correspondence including letters, memoranda, and reports.
  • Handle a wide variety of situations and conflicts involving the clerical and administrative function of the office.
  • Review and distribute daily mail correspondence to appropriate personnel.
  • Order office supplies and maintain inventory.
  • Maintain up‑to‑date departmental manuals and files.
  • Assist with compiling and developing the annual budget.
  • Handle confidential and time‑sensitive material.
  • Use experience and judgment to plan and accomplish goals.
  • Other duties and/or projects as assigned.
  • Adhere to HMH organizational competencies and standards of behavior.
Qualifications
  • High School diploma, GED, or equivalent.
  • Minimum of 10 years’ experience in a related field.
  • Minimum of 2 years working for top‑level executive(s).
  • Bachelor’s degree may substitute for some required experience.
  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint) and/or Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong problem‑solving skills.
  • Strong organizational skills with attention to detail.
  • Ability to prioritize and work independently on a variety of tasks.
  • Ability to take initiative and handle stressful situations.
Preferred Qualifications
  • Associate’s or Bachelor’s degree.
