Role DescriptionThis is a part- time, on-site Administrative Assistant role located in Beaumont, AB. The Administrative Assistant will manage front-desk operations, including greeting patients, answering phone calls, and responding to inquiries in a professional manner. Daily tasks include scheduling and confirming appointments, maintaining patient records, processing forms and payments, and supporting chiropractors and clinic staff with administrative needs. The role also involves organizing files, handling mail, preparing basic reports, and ensuring the reception and waiting areas remain clean and orderly.
The Administrative Assistant will contribute to a positive patient experience by providing friendly, efficient service and clear communication.
- Strong Administrative Assistance and Clerical Skills to handle scheduling, record management, and general office duties.
- Professional Phone Etiquette and Communication skills to interact effectively with patients, staff, and external contacts.
- Experience with Executive Administrative Assistance or supporting leadership with calendars, correspondence, and follow-up tasks.
- Proficiency with basic computer applications (e.g., email, scheduling software, spreadsheets) and the ability to learn clinic-specific systems.
- Attention to detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced clinical environment.
- Customer service mindset with a friendly, calm, and respectful approach to patient interactions.
- Reliability and punctuality, with availability to work a full-time schedule that may include evenings and weekends.
- Prior experience in a medical, chiropractic, or healthcare setting is an asset; knowledge of JANE booking system and asset.
- High school diploma or equivalent required, post-secondary education in office administration is an advantage.
