Project Coordinator - Precast

Position Summary
The Project Coordinator - Precast is a critical link between York Precast's project managers, clients, drafting team, and plant operations. This role owns the day-to-day coordination of project drawings, manages the flow of information from initial client direction through to approved shop drawings, while also supporting estimating activities, material procurement, and general project administration. Acting as a frontline point of contact between PMs and clients on all drawing and technical matters, this role requires someone who is technically literate, highly organized, and comfortable keeping multiple projects on track simultaneously in a fast-moving manufacturing and construction environment.

Key Responsibilities
1. Drawing Coordination & Technical Liaison

Serve as the primary point of contact between project managers, clients, and the drafting team on all drawing and technical coordination matters.

Manage the flow of project drawings from initial client-issued documents through internal review, revision cycles, and approval for shop drawing production.

Track drawing statuses, revision histories, and outstanding items across active projects, ensuring nothing falls through the cracks.

Coordinate RFIs, submittals, and technical clarifications between clients, engineers, and internal stakeholders in a timely and organized manner.

Ensure the drafting team has complete and accurate information before drawings move into shop drawing production.

Maintain organized, up-to-date drawing registers and project document logs for all active and completed projects.

2. Estimating Support

Assist with the preparation and assembly of project estimates, including quantity take-offs for concrete, steel, hardware, and related materials.

Review drawings and specifications to identify scope, exclusions, and assumptions relevant to pricing.

Maintain estimating templates and historical cost data to support accurate and efficient bidding.

Coordinate with the Director of Operations and technical staff to compile bid packages and submissions.

3. Material Procurement & Ordering

Calculate and confirm material quantities required for production based on approved drawings and project scope.

Issue and track purchase orders for concrete materials, steel, embedments, hardware, and other project-specific supplies.

Coordinate delivery schedules with suppliers to ensure materials arrive in alignment with production timelines.

Maintain accurate procurement records and support the development of supplier pricing and relationship management.

4. Project Administration

Maintain project files and documentation throughout the project lifecycle, including contracts, correspondence, change orders, and closeout records.

Track project schedules and milestones, flagging coordination issues or delays to the appropriate team members.

Support the preparation of project status reports, meeting minutes, and internal communications.

Contribute to the continuous improvement of administrative and coordination processes as York Precast scales.

Qualifications

2–5 years of experience in a project coordination, drawing coordination, or construction/manufacturing administration role
