What a Typical Day Looks Like
You'll coordinate maintenance and repairs, track vehicle status, support drivers with issues on the road, ensure compliance documentation is current, and keep fleet systems updated. Some days are steady and process-driven; others involve responding quickly to breakdowns, incidents, or urgent scheduling changes.
Key Responsibilities
Fleet & Vehicle Management
Coordinate and schedule preventive maintenance, repairs, and inspections with assigned mechanic shops by city
Manage vehicle check-in/check-out processes with accurate tracking and documentation
Monitor vehicle utilization and minimize downtime
Arrange, inspect, and monitor tire conditions, including seasonal tire changes
Maintain detailed maintenance records, inspection reports, invoices, and service documentation
Asset: Familiarity with semi-trucks and heavy-duty vehicle maintenance
Safety & Compliance
Conduct and/or review pre-trip and post-trip inspections as needed to ensure safety and readiness
Ensure vehicles comply with company policies, safety standards, and applicable DOT, OSHA, and environmental regulations
Maintain current vehicle licenses, registrations, permits, and insurance documentation
Oversee in-vehicle camera systems (installation, configuration, functionality) to support safety and compliance
Proactively identify and address safety risks, vehicle issues, compliance gaps, and risk-related concerns
Driver Support & Coordination
Build strong working relationships with drivers and maintain open communication on vehicle/safety concerns
Assist with recruiting, onboarding, training, and evaluating drivers
Monitor driver performance, safety records, and incident reports
Respond efficiently to breakdowns, emergencies, and accidents--coordinating support and minimizing operational impact
Use fleet management software, GPS tracking, and telematics systems
Monitor and track GPS systems
Ensure accurate data entry and reporting for fleet and safety operations
Insurance & Risk Management
Work with insurance providers to manage claims, incidents, and required documentation
Support investigations and follow-up actions related to accidents or incidents
Qualifications
High school diploma or equivalent
1-3 years of experience in fleet management or a similar role
Familiarity with fleet management software, GPS, and telematics systems
Strong organizational skills and ability to manage multiple vehicles across locations
Calm under pressure with strong problem-solving instincts
Clear communicator with drivers, mechanics, and insurance providers
Valid driver's license with a clean driving record
Competitive salary ($45,000-$60,000), based on experience
