About the Role The Heavy Equipment Rental Coordinator is responsible for the strategic deployment and utilization of Morgan's internal heavy equipment fleet, ensuring every project is outfitted with the right machines at the right time. This role partners closely with project managers and site teams to forecast equipment demand, manage fleet logistics, and source and negotiate rental equipment to supplement our fleet when required.
Job Duties and Responsibilities Plan and manage scheduling and deployment of Morgan's internal heavy equipment fleet to meet needs of active and upcoming projects across all work sites.
Work closely with the internal Operations team to forecast equipment requirements and allocate fleet resources.
Identify gaps between available fleet inventory and project demands; source, evaluate, and secure rental equipment as required.
Solicit and evaluate vendor proposals, negotiate competitive rental rates and contract terms, and manage vendor relationships.
Coordinate logistics for equipment mobilization and demobilization between job sites, including transportation and permitting requirements.
Maintain accurate and up-to-date records of fleet inventory, equipment status, utilization, and location across all active projects.
Liaise with the maintenance team to confirm equipment readiness and availability before scheduled deployments.
Monitor fleet utilization and identify opportunities to improve equipment efficiency, reduce idle time, and optimize allocation across the project portfolio.
Stay current on market rental rates, equipment availability trends, and new equipment entering the industry.
Other duties as assigned.
Qualifications / Requirements High school diploma or equivalent (Bachelor's degree in Supply Chain Management or related field preferred).
3 to 5 years of hands‑on experience with a variety of heavy equipment, including dozers, haul trucks, shovels, excavators, and graders from major brands such as CAT, John Deere, Hitachi, and Komatsu.
Experience in equipment coordination within the heavy civil sector or exposure to heavy equipment operations.
Self‑starter with the ability to work independently and as part of a team.
Excellent customer‑service skills and cooperative communication style.
Demonstrated commitment to safe work practices and a desire to make a difference and take pride in your work.
Proficiency in MS Office with particular focus on Excel and Outlook.
Strong organizational abilities, adept at managing multiple concurrent priorities.
Ability to perform effectively under pressure, meeting stringent deadlines.
Self‑motivated with a positive attitude toward learning and continuous improvement.
Willingness to work occasional overtime and participate in an on‑call rotation, including evenings and weekends, as required.
Attention to detail and problem‑solving skills to troubleshoot equipment issues and optimize performance.
Position Details In‑office based position.
Monday – Friday day shift with evening and weekend on‑call on a rotational basis.
