HRIS Support Specialist – HRIS Business Support Department

The HRIS Support Specialist will be a member of the HRIS Business Support team, serving as a Tier I & Tier II contact for Company team members to provide in‑depth support related to human capital policy and procedure. The Specialist will handle a variety of employee life‑cycle data management transactions and will have working knowledge of Payroll and Human Resources operations and associated transactions.

A successful HRIS Support Specialist will act as an employee champion, advocate, and change agent.

Heartland Dental supports more than 1,800 dental offices across 39 states and the District of Columbia, over 15,000 team members and more than 3,000 doctors. Your team will consist of three other HRIS Support Specialists and you will report to the HRIS Business Support Manager.

Responsibilities
  • Utilize internal case management tracking systems to track and resolve Tier I team member inquiries, ensuring resolution within established Service Level Agreements (SLA). Analyze and, when necessary, escalation more complex payroll issues to Tier II.
  • Provide solutions to transaction issues such as cancelling, rescinding, and walking users through Ulti Pro® transactions.
  • Resolve unusual requests that require a customized response; communicate the solution or requested information to the customer.
  • Reference department policies and procedures to ensure accuracy of response and to provide all available information to customers.
  • Provide data‑entry support when employees are unable to complete activities through the self‑service portal (e.g., deposit enrollment, life events, general deductions, new hire benefits enrollment, and personal data changes).
  • Partner with Payroll, Employee Relations, Total Rewards, and other departments to resolve issues.
  • Process transactions by collecting required information or backup documentation from the customer.
  • Review onboarding data and resolve identified discrepancies.
  • Support HRIS and system users in additional processes such as license management, personal employee information, performance review, and distribution of department surveys.
  • Participate in other projects as assigned.
Minimum Requirements
  • Associate’s degree or equivalent experience required;
    Bachelor’s degree in Human Resources or related field strongly preferred.
  • At least two years of payroll or human resources experience in a non‑exempt environment; call center experience strongly preferred.
  • Strong communication skills with an emphasis on tact and diplomacy; ability to speak and write clearly to deliver customer service excellence over the phone and by e‑mail.
  • Ability to prioritize, multi‑task, and remain flexible to changing workflow demands.
  • Exhibits teamwork and a collaborative work ethic with colleagues.
  • Demonstrates willingness to learn, implement new processes, and work independently.
  • Empathetic and confident phone presence.
  • Attention to detail; working knowledge of HR processes and procedures.
  • Effective research and problem‑solving skills.
  • Proficient in MS Office and utilizing HRIS systems.
  • Ability to maintain strict confidentiality and employee privacy.
Desirable Qualifications
  • Minimum of two years’ experience in a human resource information system (HRIS) is preferred.
  • Experience processing employment transactions in Ulti Pro is a plus.
  • Experience working with complex processes and systems in a human resources environment is preferred.
  • Working knowledge of database structure and data warehousing is highly beneficial.
