The IT Onsite Vendor Coordinator serves as the primary coordinator for vendor onsite visits to Heartland Dental supported practices, ensuring technical issues and equipment needs are addressed efficiently and effectively. You will be responsible for managing repair requests from various sources, validating details, and overseeing the entire process from initial request to dental office sign-off.
In this role, you will coordinate with internal teams and external vendors to ensure work is completed efficiently and documented accurately. You will play a vital role in supporting dental offices' day-to-day operations through scheduling onsite vendor visits, managing equipment shipments, requesting approval for work, validating quality and completion of work by vendors, and approving payment of invoices.
Heartland Dental is growing to expand the dental payor support to more than 1,800 dental offices supported across 39 states and the District of Columbia, over 15,000 team members and over 3,000 supported doctors in our support. We’re looking for professional individuals who are open, positive and mentally flexible to join our network of support. To give you an idea of team structure, this role will be directly reporting to the Infrastructure Operations Management Team.
Responsibilities- Review and manage incoming service requests, incidents, and tasks from help desk, office feedback, and other sources, ensuring all onsite vendor visits are coordinated efficiently and effectively.
- Coordinate with vendors to identify solutions, request quotes, and secure approvals from dental office administrators.
- Oversee scheduling of vendor visits and ensure timely execution.
- Maintain accurate records and updates in internal systems, tracking progress, and outcomes.
- Facilitate equipment ordering, shipping requests, and dental office communication, working closely with internal teams.
- Process and approve vendor invoices, ensuring compliance with company policies.
- Track and document metrics related to incoming requests, monitor trends, and generate reports to provide insights into request volume, resolution timelines, and overall performance.
- Other projects as assigned
- Completion of one of the following: three years of IT experience in a technical support role OR a degree in an IT related field
- Practical knowledge of computer and networking troubleshooting concepts
- Strong computer skills, including experience with operating systems
- Strong verbal and written communication skills
- Ability to communicate effectively and often with different departments and stakeholders
- Attendance and punctuality are essential
- Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.
- Ability to work well under pressure, prioritize multiple tasks, and meet deadlines
- High level of maturity, personal initiative, and sound judgment
- Ability to interact with co-workers in a collegial manner to accomplish common tasks
