General Position Summary

This is an exempt, on-site position responsible for the overall freight forwarding and warehouse operations of the Company’s El Paso, TX office. Work activities include overseeing the supervision of all logistics activities and handling documentation and customer service issues related to imports and exports.

Essential Job Functions

Responsible for managing approximately 12 employees, including Logistics Specialists, Team Leads, and Supervisors.

Overall management of freight forwarding and warehouse activities to ensure efficient allocation of resources and compliance with policies and procedures.

Activities include establishing policies, setting goals, and handling day‑to‑day management activities, interfacing with customers, etc.

Develop and implement strategic plans to enhance operations efficiency, reduce costs, and improve service levels.

Establish key performance indicators (KPIs) and regularly analyze performance metrics to identify areas for improvement and implement corrective actions.

Ensure that all policies and procedures are developed, timelines and goals are monitored and followed.

Monitor and review employees’ work activities through individual and group meetings to ensure smooth progress; assist staff with shipments as needed.

Lead and motivate staff, providing guidance, coaching, and performance feedback.

Foster a positive work environment that encourages collaboration, innovation, and continuous improvement.

Delegate and advise employees on work procedures and practices.

Oversee other personnel activities, including interviewing job applicants, training new employees, performance counseling and discipline, and termination.

Attend outside meetings such as company group meetings, seminars, conventions, and conferences for information sharing and learning.

Communicate and coordinate information both in writing and orally with management and staff. Share information with customers and/or external consultants on occasion.

Track and report time and attendance in Paylocity.

Logistics Management

Control document flow and work assignments to staff, including adjusting specialists’ account volume. Oversee input into computer system.

Supervise import/export procedures.

Monitor logistics specialists’ customer service performance, ensuring prompt responses to questions, emails, reports, and shipment tracking.

Interface and negotiate with carriers, brokers, and U.S. customs officials as needed.

Supervise and control import/export billing and accounting procedures, including approving all Profit & Loss sheets submitted to accounting.

Develop rate quotations for warehousing, import, and export operations.

Receive documents from Japan (e.g., invoices, packing lists) and distribute materials within the office to logistics specialists based on shipment priority dates.

Maintain good customer relations through phone, fax, email, and direct visits.

Perform special projects and other miscellaneous duties as assigned by management.

Follow up to complete any assigned work.

Maintain high ethical standards in the workplace.

Report all irregular issues and problems to the Division Manager for solutions.

Maintain good communication with Vice Presidents, Supervisors, staff members, and outside contacts.

Comply with all company policies and procedures.

Maintain a clean and safe working area.

Qualifications Education & Work Experience

Bachelor’s Degree from a four‑year college or university or equivalent combination of education and experience.

Five to seven years of related work experience, including managing and supervising a freight forwarding office operation.

Strong problem‑solving skills, attention to detail, customer service orientation, diplomacy, and dependability.

Proficiency with Windows operating system and MS Office.

Certificates / Licenses

Hazardous Materials Training Certificate may be required.
