Overview

Rangefront Mining Services is seeking a highly organized and versatile Office Manager to lead the administrative functions of our organization. This role is essential to maintaining operational efficiency and supporting leadership across a variety of functions including travel coordination, marketing, CRM management, office operations, and executive support. The ideal candidate will be proactive, detail-oriented, and comfortable managing multiple priorities in a dynamic, fast-paced environment.

Key Responsibilities

Administrative & Executive Support:

  • Provide direct administrative support to the President, including calendar management, meeting coordination, and task tracking.
  • Organize and schedule meetings and appointments.
  • Answer and route incoming office phone calls, emails, and other communications professionally and efficiently.
  • Maintain confidentiality with sensitive company and personnel information.
  • Assist in the onboarding process for new hires and maintain employee records.
  • Support bookkeeping and payroll functions, as needed.
  • Draft, update, and maintain service agreement contracts and other business documentation.
  • Prepare meeting agendas, take minutes, and follow up on action items.

Office Operations & Facilities Management:

  • Oversee all office needs including ordering supplies, maintaining inventory, and managing vendor relationships.
  • Coordinate regular cleaning services and ensure the office environment is organized, professional, and well-maintained.
  • Implement systems for office organization and efficiency, including filing, scanning, mailing, and workspace layout.
  • Coordinate maintenance and repairs as needed.
  • Enforce office policies, procedures, and safety protocols.

Travel & Event Coordination:

  • Arrange travel accommodations for employees attending conferences, client meetings, and training sessions.
  • Coordinate logistics for company events and parties, including venue selection, catering, scheduling, and communication with attendees.
  • Maintain a calendar of upcoming events and ensure timely preparation and execution.

Marketing & Brand Support:

  • Order and manage company swag and promotional materials for internal and external use.
  • Assist with marketing initiatives including social media scheduling, email campaigns, and branded communications.
  • Collaborate with vendors and internal teams to maintain brand consistency across all platforms.

CRM & Systems Management:

  • Manage and maintain the company’s CRM system, ensuring accurate data entry, reporting, and user support.
  • Train staff on CRM usage and troubleshoot issues as needed.
  • Generate reports and assist with data analysis to support business decisions.
Required Qualifications
  • Minimum of 3 years of experience in office management, executive assistance, or administrative coordination.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); knowledge of Quick Books or other accounting software is a plus.
  • Strong proficiency in CRM platforms and general office systems.
  • Excellent written and verbal communication skills.
  • Proven ability to manage multiple tasks and priorities in a fast-paced environment.
  • Experience coordinating travel arrangements, event planning, and marketing support.
  • Familiarity with contract management, document control, and office systems.
  • High level of discretion and professionalism, especially when handling confidential information.
  • Strong attention to detail, problem-solving skills, and a positive attitude.
