Accounts Payable Specialist

Description

Robert Half is partnering with a property management organization seeking a detail-oriented Accounts Payable Specialist to help manage vendor payments and property-related expenses across a diverse portfolio. This role is a great fit for an accounting professional who enjoys investigating discrepancies, coordinating with property managers, and keeping financial records accurate and up to date.

The ideal candidate brings a strong understanding of invoice processing and can work through a steady volume of transactions without losing sight of the details.

Experience with property management, facilities services, or multi-property accounting is especially valuable.

Responsibilities

+ Process invoices for property repairs, landscaping, janitorial services, utilities, insurance, and maintenance.

+ Verify invoice details against service agreements, work orders, and approval documentation.

+ Assign expenses to the correct property, ownership entity, and general ledger account.

+ Track invoices awaiting approval and follow up with property managers and department leads.

+ Reconcile vendor statements and resolve discrepancies, duplicate charges, and unapplied credits.

+ Prepare payment batches and assist with scheduled ACH and check payments.

+ Maintain accurate vendor files, W-9 forms, and payment information.

+ Review recurring expenses and identify unusual charges or billing inconsistencies.

+ Assist with property-level expense reports, month-end accruals, and account reconciliations.

+ Provide supporting documentation for audits and internal financial reviews.

Requirements

+ 2-4 years of accounts payable or accounting support experience.

+ Strong invoice coding, reconciliation, and recordkeeping skills.

+ Familiarity with property management or facilities-related invoices preferred.

+ Proficiency in Excel and experience with accounting or property management systems.

+ Excellent follow-through and the ability to coordinate with multiple stakeholders.

+ High attention to detail and a professional approach to vendor communication.
