Job Summary Provide day to day administrative support to the Managing Director and the Senior Leadership Team, with a confidential service to the MD and SLT on all matters relating to the business of HENSOLDT UK.

Responsibilities
  • Provide day to day administrative support to the MD and Leadership Team of HENSOLDT UK.
  • Conserve executive’s time by answering correspondence, drafting email responses and letters on their behalf.
  • Maintain Leadership Team appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Welcome guests and customers by greeting them, in person or on the telephone, answering or directing enquiries.
  • Arrange all catering requirements, via the onsite restaurant for on site meetings and visitors when required.
  • Maintain contact with all levels of management internally and externally and ensure information is managed and communicated in a timely and concise manner.
  • Direct and maintain a single key-control meeting calendar to include HENSOLDT UK, Radar Division and HENSOLDT Group meetings; liaise with equivalent functions in Division and Group; send out meeting invites in a timely manner.
  • Note actions on a common IT platform (e.g., Teams) for distribution to the actionee.
  • Travel: liaise with HQ Travel Provider in respect of contract renewal and services; book travel on the appropriate platform and provide cost comparisons; act as point of contact for urgent travel assistance while abroad (24/7); consider alternative travel provider options.
  • Act as point of contact on Insurance issues, liaising with HENSOLDT Germany and/or AON; process claims.
  • Manage ad hoc projects as required by the HENSOLDT UK Management Team.
  • Liaise with colleagues in HENSOLDT Germany as directed for the MD and SLT.
  • Support Site Services functions with administrative tasks as required.
  • Other tasks associated with the above functions; may be asked to work outside of normal 9-5 hours as part of the job role.
Requirements
  • Good organisational skills and attention to detail.
  • Ability to integrate and balance priorities, work activities and resources for multiple key stakeholders.
  • Good written and verbal communication skills.
  • Ability to work well independently, under tight deadlines, while also being a team player.
  • Experience with Microsoft Office (Word, Excel, PowerPoint).
