We are seeking a highly organized and proactive Administrative Assistant to support our construction operations. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple responsibilities, and ensures the smooth day-to-day functioning of the office.
The successful candidate will handle a wide range of administrative tasks, from filing and ordering materials to coordinating vehicle maintenance, managing licenses, and supporting project teams.
Key Responsibilities- Perform general administrative duties including filing, scanning, data entry, and document management.
- Prepare, track, and process purchase orders, material orders, and supplier paperwork.
- Coordinate scheduling and maintenance for company vehicles, including service records and repairs.
- Assist with maintaining company licensing, certifications, and compliance documents.
- Support project managers with job documentation, project files, and communication with vendors or clients.
- Maintain organized office systems and ensure that all administrative processes run efficiently.
- Handle incoming calls, emails, and correspondence with professionalism and strong customer service.
- Assist with payroll preparation, timesheets, and basic accounting tasks as needed.
- Monitor deadlines, follow up on outstanding items, and help ensure projects stay on track.
- Prepare reports, spreadsheets, and presentations using MS Office and Excel.
- Assist Sales and Business Development staff as needed.
- Proven experience in administrative support, preferably in construction, or a related industry.
- Strong computer skills, including proficiency in Microsoft Office

, Outlook, and basic data management. - Excellent written and verbal communication skills.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Detail-oriented, reliable, and able to work independently as well as collaboratively.
- Ability to manage multiple tasks in a dynamic, fast-moving environment.
- Valid driver’s license is an asset.
