Job Function

Supporting the company with despatch services, reception, events preparation, and client hospitality.

Key Tasks
  • Responsibility for the day-to-day management of the mail room
  • Sort all incoming post and parcels, log them in and notify relevant staff
  • Prepare outgoing mail, special & recorded and same day couriers
  • The role required daily use of a franking machine (training provided)
  • Printing labels for mail outs (training provided)
Events assistance
  • Helping events team with props for red carpets (heavy items lifting may be required)
  • Daily restock of staff kitchens with supplies
  • Cover reception daily during receptionist’s lunch breaks and annual leave
  • General housekeeping and maintenance of all areas of the building including the basement storage areas.
  • Inventory of stationary supplies and organise new stock when required
  • Daily collection and handling of recycling waste
  • Assist with meeting room set ups
  • Local runs shops as required
  • Support other departments as needed
  • Managing leftover goodies from events (e.g. charity donations)
  • Become a trained fire marshall and first aider (training provided)
Other responsibilities
  • Meeting and greeting visitors and managing sign in process
  • Screening phone calls, enquiries and requests
  • Liaising with building management and facilities
  • Meeting room booking and organisation. Managing meeting rooms and refreshments
  • Ordering and managing stock levels for office supplies, stationery, cleaning and kitchen supplies
  • Organising weekly office breakfast and fruit order
  • Ad-hoc admin tasks and project work such as photocopying, filing, data inputting

This position would suit a motivated, enthusiastic person who enjoys working with people, thrives on variety and is comfortable managing tasks of all sizes. A great runner creates a calm, professional and welcoming environment, making a lasting difference to both staff and visitors alike.

This is a permanent, full-time, on-site only role (working hours 9-5.30 weekdays, with occasional out of hours working), with 20 days holiday per annum (plus all public holidays).
