Job DescriptionPediatric Dental Office Scheduling Coordinator
We are seeking a friendly, organized, and patient-focused Entry-Level Scheduling Coordinator to join our team centric and busy pediatric office. In this role, you will be the first point of contact for families, managing appointment scheduling and supporting smooth daily operations in a child-friendly environment.
Key Responsibilities
- Answer incoming phone calls and respond to patient/family inquiries in a friendly, courtious and compassionate manner
- Schedule, reschedule, and cancel appointments for pediatric patients while optimizing provider schedules
- Register new patients, collect demographic and insurance information, and verify eligibility/insurance coverage
- Send appointment reminders via phone, text, or email
- Manage waitlists and fill openings to maximize schedule efficiency
- Handle incoming faxes, emails, and patient portal messages related to scheduling
- Assist with basic front office tasks, such as greeting patients and supporting check-in/check-out procedures
- Collaborate with clinical team to accommodate urgent or same-day appointments
Qualifications
- High school diploma or equivalent (required)
- Previous customer service, administrative, or receptionist experience preferred with dental terminology knowledge a plus (entry-level candidates welcome)
- Strong verbal and written communication skills with a warm, patient demeanor
- Excellent organizational skills and attention to detail
- Basic computer proficiency (Microsoft Office, email); experience with dental scheduling software/PMS a plus
- Ability to multitask in a fast-paced environment while remaining calm and professional
- Passion for working with children and families
- Full-time (Monday–Friday, typical typically 35 hrs)
