Position Overview

The ASES Site Supervisor coordinates, implements, and oversees the success of virtual and classroom instruction of the After School Education and Safety (ASES) Program. Responsibilities include collecting and analyzing achievement data, maintaining a strong connection between the school day and the after‑school program, coordinating and developing learning and enrichment partnerships with community and youth service agencies, managing the recruitment of Program Leaders and selecting students for the after‑school program, and leading, inspiring, training, and assessing part‑time staff who work at the school sites.

The role also involves strengthening and aligning BGCGSD educational and enrichment programs in accordance with ASES grant funding guidelines and BGCGSD program requirements.

Essential Duties and Responsibilities
  • Ensure the program adheres to current safety guidelines and that Group Leaders are properly trained and engaged with members.
  • Develop and oversee the virtual online program and maintain practical capacity, virtually or at the school site, based on organization guidelines.
  • Maintain compliance with all program standards and create a written annual Program Plan with growth goals and metrics.
  • Plan and oversee the administration of designated BGCGSD programs and activities that support Youth Development outcomes.
  • Perform administrative tasks, including answering emails, and provide direction to Group Leaders to encourage participation and deliver constructive feedback.
  • Engage in operations and club committees, evaluate programs continuously, and keep Vision membership data current, accurate, and retrievable.
  • Adhere to and comply with all BGCGSD policies and procedures.
  • Prepare monthly reports reflecting all activities, attendance, and participation, and include weekly Group Leader reports for the ASES Manager.
  • Assist the admin team in satisfying grant requirements and ensuring revenue capture.
  • Control club site expenditures within budgeted allotments and maintain financial documentation per BGCGSD policy.
  • Maintain active membership in a local service club or community organization and develop public relations to increase program visibility.
  • Schedule monthly meetings with the principal and develop an annual outreach plan.
  • Make a minimum of three presentations about club services to schools, community groups, or local civic groups.
  • Coordinate with Development for publicizing events and support internal and external club messaging.
  • Work with Development to solicit funds from local service clubs and document all donations accurately.
  • Support organization‑wide and local fundraising events as needed.
  • Ensure new cleaning/disinfecting protocols are followed and verify all safety protocols are adhered to.
  • Manage facility repair requests, equipment maintenance, and inventory of club equipment.
  • Maintain cleanliness, organization, and safe lighting for program areas.
  • Supervise 10‑20 youth across activities and lead 4‑12 club staff.
  • Maintain accurate volunteer records and communicate personnel concerns to the ASES Manager.
  • Conduct annual written performance evaluations, ensure staff attend mandatory training, and achieve 100% Foundation Level of Youth Development training within one year.
