The Finance Coordinator oversees all of the organization’s financial transactions and ensures our financial practices and internal controls maintain the highest level of integrity. This position is an integral part of the organization’s operations. They participate on the board Finance Committee and work closely with all Lane Arts Council staff.
FTE: .375, non-exempt, approximately 10-15 hours a week
Compensation: $28-$30/hour, paid vacation, holidays, and sick-leave (pro-rated)
Work hours and location: This position works weekday hours. After onboarding, there is some flexibility to work partial hours remote.
Duties & Responsibilities
- Maintain Lane Arts Council’s financial records by accurately recording the day-to-day financial transactions of the organization
- Check and verify source documents such as invoices, receipts, computer printouts
- Allocate and post financial transaction details to Quick Books Online, including allocation of shared expenses
- Reconcile and balance all accounts
- Manage accounts payable and accounts receivable
- Draw up monthly financial statements (profit and loss statements, balance sheet, financial summary)
- Participate in Lane Arts Council Board Finance Committee meetings and present monthly financial statements to Finance Committee
- Collate and analyze account data and generate financial reports
- Maintain internal control systems
- Manage communications for all administrative and program invoices
- Prepare checks, ACH payments, and bank deposits
- Prepare and process payroll
- Calculate and prepare tax payments
- Assist with annual compilation and form 990
- Issue 1099s to contractors and W2s to employees
- Assist with maintaining program spreadsheets (invoicing and revenue spreadsheets, finance trackers, etc.)
- Other duties as assigned
Grant Tracking and Budgets
- Support tracking of restricted funding; track grant budget income and expenditures
- Support financial reporting and expense documentation for grant funders
- Assist with development of program and organizational forecast and budgets
- Other duties as assigned
Administrative
- Manage administration of LAC’s health insurance and retirement benefits
- Maintain schedule and complete forms (property-tax exemption, insurance, etc.)
- Maintain complete filing system to support financial records
- Other duties as assigned
Preferred Skills & Experience
Knowledge of Quick Books Online and Excel
Experience in bookkeeping, with high level knowledge of nonprofit accounting
Experience processing payroll and payroll taxes with Quick Books Online
Knowledge of generally accepted accounting principles and procedures (GAAP)
Knowledge of data management and financial data analysis
Knowledge of relevant legislation and regulatory requirements
An associate degree in accounting, finance or business (preferred but not required)
Ability to manage requests from multiple team members
