Patient Services Coordinator
Willamette Valley Cancer Institute (WVCI) is looking for a Patient Services Coordinator to join their team. This role registers and schedules appointments for patients, answers and screens calls, and directs all incoming calls to appropriate personnel while relaying messages between patients and clinical staff. The coordinator supports and adheres to the US Oncology Compliance Program, including the Code of Ethics, Business Standards, and US Oncology’s Shared Values.
General Pay Scale: $20.00 – $27.00 (actual hiring rate depends on experience, education, and other factors).

- Answers, screens, and responds to calls and provides routine information; routes clinical questions to appropriate personnel and takes thorough messages, paging clinic personnel as needed.
- Communicates and builds relationships with patients as their primary contact, demonstrating compassion and respect and creating trust by offering timely appointments.
- Coordinates schedule for a single provider, learning provider behavior and ordering style; manages an orders queue efficiently with excellent time‑management skills.
- Schedules returning appointments per physician or office guidelines and provides patients with appointment details such as time, location, directions, and instruction sheets.
- Records patient cancellations and missed appointments, reschedules appointments, notifies appropriate staff, and makes notes in patient chart.
- Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records.
- Performs other duties as requested or assigned; may type memos and forms.
- High‑school diploma or equivalent required; some reception or office experience preferred. Proficiency with computer systems and Microsoft Outlook, Word, and Excel required.
- Must successfully complete required e‑learning courses within 90 days of starting the position.
- Demonstrates adaptability by handling day‑to‑day work challenges, adjusting to multiple demands, and shifting priorities.

The employee is required to be present during regularly scheduled business hours, and regularly sits or stands, talks, or hears. The role requires full range of body motion, including handling and lifting patients, manual and finger dexterity, and eye‑hand coordination. Standing and walking for extended periods; occasionally lifts and carries items weighing up to 40 lbs. Requires corrected vision and hearing to normal range.
WorkEnvironment
The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, and other conditions common to an oncology/hematology clinic environment. It involves in‑person interaction with co‑workers, management, and clients; may require minimal travel by automobile to office sites.
