Job Summary

We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees and field operations, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include calling clients, scheduling appointments, planning travel, and writing correspondence. The ideal candidate is highly organized with excellent English and Spanish written and verbal communication skills and a friendly demeanor.

Responsibilities
  • Answer all customer inquiries through phone calls, emails, texts
  • Filing/Copying/Scanning/Faxing/Mailing/Taking Deposits
  • Organize and schedule appointments/projects/meetings
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Update and maintain office policies and procedures
  • Maintain contact lists for recruitment, clients, and internal staff
  • Book travel arrangements; calculate expenses for reimbursement
  • Prepare recruitment materials and post jobs to appropriate job boards
  • Onboard new employees in order to become fully integrated
  • Monitor timekeeping / attendance records
  • Order office supplies
  • Help as needed with Payroll, Accounting or Operations
Qualifications
  • Previous experience as an Administrative Assistant or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and Quickbooks
  • Highly organized with excellent time management skills and the ability to prioritize projects
  • Excellent written and verbal bilingual (English/Spanish) communication skills
  • Strong organizational skills with the ability to multi-task
  • Hands-on experience with recruiting paperwork and timekeeping methods
  • Must be able to always maintain professionalism
Schedule

Monday - Friday 7:00am - 3:00pm (-30 minute lunch)

Every other Saturday 8:00am - 12:00pm REQUIRED
