Operations Supervisor

Full‑time position working Wednesday through Sunday, 9:00 AM to 6:00 PM. The Operations Supervisor is responsible for staffing, scheduling, guard monitoring, and payroll/billing lock‑ups. Security officers report to the Operations Supervisor as their initial and primary contact for scheduling. This role requires an individual who thrives in a fast‑paced environment, is accurate and detail‑oriented, and has exceptional follow‑up skills. The primary systems maintained by the Operations Supervisor are timekeeping and scheduling for their division.

Essential Functions
  • Prepare work schedules for security officers at least two weeks in advance.
  • Monitor employees in the timekeeping system throughout the day and call employees on missed check‑ins/outs immediately.
  • Lock up employee shifts weekly; call employees and verify any discrepancies in the schedule daily.
  • Communicate recruitment needs to the Operations Manager and recruitment team.
  • Administer disciplinary action, including verbal and written warnings; assist with terminations.
  • Document, follow‑up on client complaints with the Operations Manager, and provide recommendations.
  • Process payroll and billing lock‑ups.
  • Approve time‑off for security officers.
  • Maintain regular communication with security officers to resolve issues regarding pay, systems use, form retrieval, and schedules.
  • Effectively manage overtime and adhere to guidance regarding timekeeping and L&I rules.
  • Plan for cross‑site training when appropriate; coordinate a succession plan with the Operations Manager for training‑intensive sites.
  • Ensure hours are categorized and coded correctly (training, unbillable, USL&H, prevailing wage, etc.).
  • Call guards who have a schedule change within 24 hours for confirmation.
  • Provide security officers with post‑orders when assigning them to a new site; periodically check to make sure post‑orders are accurate and support the Operations Manager by updating when obligations change.
  • Maintain accurate employee notes in the timekeeping system according to company guidance.
  • Participate in the planning needs for large customer contracts with the Operations Manager and team.
  • Respond to alarms, lockouts, and assist with lock‑ups as needed.
  • Perform the duties of a Field Supervisor as needed and for shift coverage.
  • Provide interviewing and hiring assistance as needed; serve as backup for recruitment as a Certified Trainer.
  • Provide other security officer support as needed.
  • Other duties as assigned.
Minimum Qualifications

At least 2 years of administrative/office management experience. At least 2 years of previous professional customer service experience. Computer and smartphone savvy. Intermediate skill level with MS Office Suite required. Ability to become an authorized driver. Ability to speak, read, and write effectively in English. Ability to pass a criminal background check.

Authorized Driver Requirements
  • Must be over the age of 23 to become an authorized driver.
  • Must have had a driver’s license for the past 3 years.
  • Driving record must meet the company requirements.
Education

HS Diploma/GED equivalency required. Additional education preferred.

Certificates, Licenses, Registrations
  • Must maintain a current Security Officer License in the state of WA.
  • Must be able to travel to client sites during shift as a company authorized driver.
  • Certified Trainer with the DOL within the first 30 days of employment.
Special Training / Skills
  • Proficient with emails, spreadsheets, and word processing programs.
  • Ability to read, analyze, and interpret general business reports.
  • Ability to write reports, business correspondence, and procedures.
  • Attention to detail and high organization skills.
  • Self‑motivated and able to identify problems or things that don't make sense and provide solutions.
