Job SummaryProvides clerical and support services, answers phone calls and directs them to the appropriate programs, and greets clients who come to the Family Services and Support floor.
Adheres to the TCC Cheghwtsen model of service and guiding principles, providing timely and effective service and interacting in a way that inspires trust, demonstrates respect, compassion, and empathy.
Essential Functions- Provide administrative support to ensure efficient Family Services and Support operations and receive calls, directing them to the appropriate programs within TCC.
- Maintain the lobby area by ensuring items are returned to their place, checking the computer lab to avoid displaying clients’ personal information on monitors.
- Maintain up‑to‑date mailing, email, and phone contact information for Tribal Workforce Development Specialists and Tribal Council Offices.
- Photocopy client data for interagency use and route it to appropriate staff or departments within TCC.
- Assist Family Services and Support staff with distributing checks or additional documentation that need to be provided to specific clients.
- Maintain supplies of all Family Services and Support program applications and required checklists.
- Maintain Xerox paper envelope supplies; keep all program applications and forms stocked in the lobby area.
- Maintain general office supplies as needed.
- Assist in scheduling outreach events, scheduling charts, and obtaining supplies needed for traveling.
- Purchase supplies needed for outreach events.
- Assist Family Services and Support intake staff as needed.
- Travel for outreach events and trainings.
- Support communication between the Family Services and Support Programs and clients.
- Contribute to various initiatives and special projects as they arise within the Family Services and Support Programs.
- Perform other job‑related duties as assigned.
- High school diploma or GED equivalent.
- Two years of experience in clerical work or an equivalent combination of education, training, and experience that demonstrates the ability to perform all duties of the position.
- Must maintain strict confidentiality.
- Must pass background check pursuant to federal Indian Child Protection and Family Violence Prevention Act requirements and State of Alaska background check.
- Ability to establish and maintain effective working relationships with employees and clients.
- Ability to follow written and verbal instructions.
- Ability to communicate effectively verbally and in writing.
- Knowledge of general office procedures.
- Strong computer skills, with experience in Excel and Microsoft Word.
- Ability to type forty (40) words per minute with a high degree of accuracy.
- Ability to work independently.
- Substantial cross‑cultural experience.
- Familiarity with TCC tribes in the TCC service area preferred.
- Strong customer relations skills.
- Supervision: This position has no supervisory responsibilities.
- Physical Demands: Must be able to work effectively in a busy and sometimes stressful environment and meet frequent deadlines. Incumbent works at the lobby front desk, lifts at least twenty (20) pounds, walks, stands, stoops, kneels, and deals with irate clients.
- Summation: Incumbent is exposed to client confidentiality and ongoing correspondence. This high public‑contact position requires strong interpersonal skills.
