PROJECT COORDINATOR - JOB DESCRIPTION

SUMMARY

The Project Coordinator is a vital member of the Project Management Team. The PC manages purchasing, documentation, and accounting tasks for projects from bidding/estimating through closeout.

KEY RESPONSIBILITIES

The responsibilities include, but are not limited to:

Set up new projects: create binders/files, office trailers, utilities, supplies, equipment, furniture, toilets, trash, water, etc.

Manage the flow of hardcopy and digital information within the project team.

Create project contact lists and maps, and procure signs if required.

Manage submittal processes and maintain logs.

Prepare meeting materials and minutes.

Collect and submit JHAs/JSA's to clients.

Maintain the master vendor list.

Suggest workflow improvements and foster a positive attitude.

Assemble and transmit subcontracts and purchase orders with input from PM/PE.

Track insurance certificates and bonds renewals.

Process change orders for prime contracts and subcontracts.

Validate vendor invoices and assign them to POs or subcontracts.

Collaborate with PM and project accountant for billings.

Monitor A/R and follow up on payments.

Prepare lien waivers and coordinate their collection.

Assemble T&M billings from supporting documents.

Assist with project close-out, warranty info, and manuals.

Additional administrative tasks may include answering phones, routine correspondence, scheduling travel, and copying documents.

Must pass a pre-employment drug & alcohol screening.
