The Mission Technologies Information Technology (MT IT) department seeks a highly organized and self‑motivated Executive Administrative Assistant to provide comprehensive support to senior IT leadership. The role ensures smooth operation of key IT functions, including onboarding, access management, equipment processing, and event coordination.
Responsibilities- Coordinate CIO and MT IT leadership calendars, schedule meetings, prepare agendas, and take minutes.
- Arrange travel and process expense reports for the CIO and IT leadership team.
- Ensure effective communication of directives to the MT IT team.
- Work with SMEs to draft, route, and distribute IT communications requests.
- Support department events (vendor, all‑hands, team offsites).
- Enter purchase requisitions, ensuring accuracy and compliance with company policies.
- Review invoices, apply proper GL coding, and route for approvals (Accounts Payable).
- Coordinate onboarding for new MT IT hires, setting up systems access and equipment.
- Manage visitor and guest building access, ensuring security protocols.
- Order office supplies and equipment for departmental functions.
- Support Verizon Wireless Portal for device requests (mobile, desktop, hotspots, tablets).
- Maintain records and comply with retention policies.
- Coordinate and support MT IT policy and process documentation development and review cycles.
- Support development of leadership team presentations.
- Assist with various administrative tasks as needed (Ad Hoc Assignments).
- 6 years relevant experience with Bachelor’s in a related field; 4 years relevant experience with Master’s; or High School Diploma or equivalent with 10 years relevant experience.
- Proficiency with MS Office Tool Suite.
- Excellent writing skills and ability to translate technical jargon into user‑friendly communications.
- Familiarity with CostPoint Purchase Requisition s and Expense Report.
Minor lifting and carrying of boxes of records or equipment.
