ECS is seeking an HR Operations Coordinator to work in our Fairfax, VA office. The HR Operations Coordinator provides operational and administrative support across the full employee lifecycle and plays a key role in ensuring HR processes are executed accurately, timely, and in compliance with company policies and applicable regulations. This role supports onboarding, HRIS administration, personnel records management, reporting, compliance initiatives, employee inquiries, and continuous improvement of HR operational processes.
This position partners closely with HR, Payroll, IT, Security, Recruiting, and management teams to support efficient and compliant HR operations in a fast-paced, multi-state workforce.
- HR Administration & Employee Support Serve as a point of contact for employee HR-related questions and direct inquiries to the appropriate HR team member. Support daily HR operations and administrative functions. Prepare employee communications, letters, employment verifications, and HR documentation. Maintain confidentiality of employee and company information at all times. Support HR inbox and ticketing/helpdesk requests and ensure timely responses. Maintain HR trackers, records, and operational documentation.
Sort, log, and distribute physical mail for the HR Department - Onboarding Coordinate and manage new hire onboarding activities, including pre-employment paperwork and background checks, weekly New Hire orientation scheduling and presentation, I-9 completion, new hire boxes, and ensuring all new hire complete onboarding paperwork in a timely fashion.
- HRIS & Data Management Enter and maintain employee data in HR systems such as ADP and other platforms. Maintain personnel electronic files and records in accordance with company policy and legal requirements.
- Reporting & Compliance Support Generate standard HR reports and assist with data tracking and audits. Run periodic in-house audits of employee files to ensure proper naming conventions, missing documents, and correct categorization. Prepare reports for New Hire welcome boxes, Baby and Adoption boxes to qualifying employees. Support compliance and audit initiatives including I-9 documentation, employment verifications, and record retention. Assist with maintaining HR Operations SOPs, job aids, forms, and process documentation.
Help ensure compliance with federal, state, local, and company policies and procedures.
Salary Range: $28.00/hr-$30.00/hr
General Description of Benefits- High School diploma or equivalent required.
- 4-5 years of administrative or HR support experience preferred.
- Experience working with HRIS systems such as ADP preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability to handle sensitive and confidential information professionally.
