Due to retirement, we look forward to welcoming an enthusiastic and highly motivated individual to join our team as Practice Manager.

We are a well‑established, friendly and hardworking practice caring for approximately 9,700 patients. Based in Meadowbank Health Centre, Polmont, we are easily accessible from Falkirk, Stirling, Glasgow and Edinburgh by both car and rail. We also operate a branch surgery in the nearby village of Shieldhill.

Our multidisciplinary team includes 5 GP Partners, 2 Salaried GPs, Advanced Nurse Practitioners, Practice Nurses, a Deputy Practice Manager and a dedicated administrative team. We are also supported by Advanced Physiotherapy Practitioners, Mental Health Nurses, Pharmacists and the District Nursing team. The practice is actively involved in medical student training.

About the Role

The Practice Manager will provide strong leadership and ensure the smooth, efficient and high‑quality running of the practice. You will lead on operational management, service improvement, staff development and strategic planning, working closely with the GP Partners and wider team.

Key Responsibilities

· Operational management

Lead day to day running of practice

Ensuring safety and patient focused service

Manage administrative tasks, appointments, workload allocation, capacity planning

Oversee premises, equipment, health and safety, infection prevention controls

Implement appropriate local and national guidance

· People management

Lead reception and administrative staff

Manage recruitment, contracts, PVGs, induction, appraisals, performance management

Support staff training, well-being and absence management

· Finance and Business Management

Oversee practice finance and financial record keeping

Manages income streams, payroll, invoicing, procurement.

Liaise with accountants, HMRC, SSPA, payroll, Practitioner services

· Quality, Governance and Compliance

Ensure compliance with: NHS Scotland clinical governance frameworks, Health & Safety legislation and GDPR / NHS Information Governance standards

Complaints handling requirements (as per Scottish Public Services Ombudsman guidance)

Lead significant event analysis, risk management, and quality improvement activities.

Maintain robust systems for recall, triage processes, chronic disease management support, and reporting

· IT, Data and information management

Oversee practice clinical systems (e.g., Vision, EMIS, Docman, SCI Gateway)

Ensure data quality, coding accuracy, and extraction for national audits

Manage cybersecurity, access controls, and digital transformation initiatives.

· Patient and community engagement

Manage patient communications, patient focus group

Manage complaints procedure with input from GPs

Work with cluster group and wider community teams

Essential Requirements

· Experience in financial and business management

· Confidence in premises management, IT systems, data analysis and HR processes

· Knowledge of quality and performance management

· Understanding of health and safety requirements

Desirable

· A recognised management qualification is desirable but not essential
