POSITION STATUS: This is a full-time, non-unit professional position with benefits
SALARY: $65,743.40 - $69,071.66 annually
STATEMENT OF DUTIES:
Reporting to the Director of Executive Operations, the Staff Associate for the Office of the President provides confidential administrative support to the Director and to the college President. This position serves as a liaison between the President's Office and students, faculty, staff, alumni, the Bristol Community College Foundation, legislators and the community, among other constituents. The Staff Associate at the President's Office oversees administrative aspects of the daily operation of the President's Office and serves in place of the Director of Executive Operations, as needed.
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:
- Act as the first line of contact for the Office of the President.
- Provide administrative support including calendar management, travel coordination, correspondence drafting, budget reconciliation, accounts payable coordination and meeting logistics.
- Assist in the coordination of Board of Trustees meetings, including preparing agendas and materials.
- Supports the Director of Executive Operations and the President on various initiatives and strategic projects through internal departments and external partners, with the possibility of collaborative support to the Chief of Staff and the Title IX/Affirmative Action Coordinator.
- Assist in the facilitation of event planning for Office of the President including room reservations, set-up work orders, and catering for college events such as Commencement, Legislative Breakfast, and Inauguration.
- Maintain organized records and files, including confidential and sensitive documents including coordination of website updates as needed.
- Monitor key deadlines and assist in tracking progress on projects and initiatives.
- Prepare reports, presentations, and summaries as needed using Microsoft Office 365 and college management systems.
- Uphold professionalism and discretion in all interactions while promoting the mission and values of the college.
- Contribute to an inclusive, service-oriented office environment that reflects the goals of the Commonwealth's Student Success and Equity Agenda.
- Perform additional duties as assigned in support of the Office of the President.
REQUIRED QUALIFICATIONS:
- Minimum of a high school diploma.
- Minimum of one (1) year of related experience as an administrative assistant or similar.
- * An equivalent combination of education, training, and experience shall be considered.
- Demonstrated proficiency with Microsoft Office 365 applications and video conferencing software.
- Excellent verbal and written communication skills, including strong customer service skills.
- Demonstrated dependability in the work environment, with a strong attention to detail. .
PREFERRED QUALIFICATIONS:
- A bachelor's degree in a business-related field.
- Three years of experience as an administrative assistant or similar.
- Understanding of academic institutions and culture, which may be demonstrated through professional work experience in higher education.
- Demonstrated project management experience.
- Ability to communicate in a language in addition to English.
