This role supports the Army/DoD outpatient services by scheduling medical appointments and coordinating care across primary, specialty and subspecialty services.
Responsibilities- Schedule appointments in a government computer system for primary care, specialty and subspecialty medical care. Call patients or respond to secure messaging submissions to schedule, reschedule, and/or cancel appointments as needed, including consult/referral specialty care within the MTF or at civilian facilities.
- Schedule medical appointments and determine patient eligibility for services from phone calls, secured messaging or other methods used for appointment requests. Support PCM by name processing for appointment and access to care time frames during allocation of standard appointment types.
- Maintain appointment schedules using government computer systems (CHCS, AHLTA or MHS GENESIS).
- Validate eligibility through booking in DEERS. May register patients not already in the system (e.g., newborns).
- Maintain accurate and up-to-date patient schedules and logs. Use system tools and standard protocols to facilitate appointment slots, rescheduling or cancellation processing.
- Validate basic patient demographic information prior to booking appointments and make required updates.
- Call patients or respond to secure messaging requests to schedule, reschedule, and/or cancel appointments. Promote consult/referral specialty medical care within the MTF or at civilian facilities. Provide patients with specific visit instructions.
- Pull records and files documentation as needed. Confirm medical records are available for upcoming appointments on provider schedules.
- Assist in preparation of patient notices (telephonically or form letter formats) for appointment reminders, no-shows, or reschedule/cancellations.
- Receive and electronically deliver telephone messages (t-cons) to PCMs and/or clinic nurses using the Government computer system, standard protocols and clinic guidelines as needed.
- If in the lead clerk position, attendance at the clinic Access to Care Meeting is mandatory for central booking representation.
- Maintain knowledge and skills required for the role.
- Be a fully qualified typist (minimum 50 WPM).
- Clearly speak and understand the English language.
- Use standard office equipment such as personal computers, copiers, fax machines and telephone systems.
- Demonstrate general medical ethics, telephone etiquette, and excellent communication and customer service skills.
- Possess a high school diploma or GED.
- Have at least 6 months of experience in medical office scheduling.
- Work is mainly sedentary but may require walking, bending, standing and/or carrying of light items such as files and medical records.
- Minimum 50 WPM typing speed
- Clear spoken and written English
