We're currently recruiting a friendly Reception Supervisor (Wardroom) to provide first‑class reception service for Defence on a full‑time basis, contracted to 37.5 hours per week.
As the reception supervisor, your role is to run and manage our reception that is open 24/7 year‑round. You will run the reception during your shift along side managing a team of 4 day / night receptionists.
As a Receptionist, you will work in a welcoming team to ensure that all staff and visitors are greeted and dealt with in a warm and efficient manner. Shift pattern :
Monday to Friday 06:30‑14:30
- Manage and drive the completion of all compulsory training with all team members.
- Motivate, support & train existing/new team members.
- Ensure team rotas created 5 weeks in advance, proactively finding cover if required.
- Ensure all team members are trained and following correct procedures and tasks.
- Manage, delegate and allocate job‑specific tasks to team members, including day and night shift workers and night cleaning.
- Take all required actions on receipt of accommodation bookings by phone or email.
- Operate the in‑house computer system to ensure the efficient use of available cabins.
- Maintain accurate and up‑to‑date computerised records of accommodation availability and produce statistical reports as required by management.
- Prepare and, where necessary, complete all joining/leaving documentation including the issue of keys, raise invoices, calculate charges for guests, process payments and refunds.
- Ensure out muster process is followed and managed.
- Ensure all rooms are of the highest standard, highlight concerns to the Cleaning Manager, log defects.
- Maintain high standards within the Wardroom and accommodation.
- Be responsible for the safe and all master keys for Mess & Accommodation.
- Log any broken, damaged or site maintenance as needed.
- Ensure all paperwork and procedures are managed, recorded and completed.
- Conduct regular security and safety rounds of the mess as required by local regulations.
- Maintain responsibility for the mess notice boards and incoming/outgoing mail.
- Maintain an in‑depth knowledge of the mess, its facilities, the establishment and local areas as required.
- Ensure all utilities within the accommodation have working White Goods, placing orders with manager for any defects.
Must have
- Highly organised, methodical and forward‑thinking.
- Good problem solver and able to streamline processes with high attention to detail.
- Polite, well‑mannered and presentable.
- Intermediate to high computer skills including Microsoft Excel.
- Happy to support other teams during shift such as Front of House serving in Dining Hall if needed.
Desirable
- Working knowledge of a military environment.
