Business Support Administrator

We are seeking to appoint a full‑time band 3 Administrator to join the Clinical Admin Team at Fareham Community Hospital, Sarisbury Green, SO31 7DQ
.

A good level of general education is required, including qualifications in Maths and English at GCSE grade C or equivalent and ideally a Level 2 Diploma in Business and Administration. Computer skills and experience of using a database are essential. Excellent communication and customer service skills with a good telephone manner are necessary.

In this demanding role you will deliver a high standard of administration skills, providing support to the Specialist Continence Team and to the Falls Prevention and Posture Management Teams. Duties include sifting and processing a high volume of incoming referrals, booking clinic appointments, following service guidelines and standards, dealing with telephone queries, using Rio (the Trust’s electronic information system) and other database systems, communicating with service users and healthcare professionals.

As a team player, you will prioritise your work to meet deadlines and the demands of the service, maintaining a customer‑focused approach with a clear understanding of confidentiality issues and the ability to empathise with service users, dealing with them in a tactful and diplomatic way. Full training will be provided.

A car driver with access to a car is essential for this post.

Main duties of the job
  • Plan, organise, and manage your own workload in line with policies and procedures, working independently or as part of a team.
  • Sift and process referral requests for new patients, identifying and prioritising accordingly.
  • Reschedule workload of team members at short notice due to sickness or absence.
  • Answer telephone queries, take messages, prioritise and act upon as necessary; ensure information is passed on in a timely, accurate and professional manner.
  • Provide and receive sensitive information requiring tact; often overcoming cultural or language difficulties and/or anxious and distressed service users.
  • Use and accurately populate the electronic record system (Open RIO) with information.
  • Work positively with colleagues, service users and other health professionals to maintain effective relationships and ensure confidentiality policy adherence.
  • Attend team meetings as required; these may be at other HIOW sites.
  • Provide comprehensive administrative support and take on extra tasks when necessary due to staff absence.
  • Liaise with all services, internal and external to the Trust, and patients’ relatives while maintaining confidentiality.
  • Work alongside the Hub Admin Team, supporting as necessary to ensure the continued streamlined service.
