Are you an organized, proactive administrator looking for your next opportunity? We have two Business Support Administrator vacancies to join our friendly and fast paced teams.
The fist vacancy is within our Community Paediatric Medical Service (CPMS) at Fareham Child Development Centre. In this role, you will provide essential administrative support to our medical staff, liaise with outside agencies, and work closely with other administrators across the service. You'll play a key part in ensuring the smooth running of our operations and helping us deliver high quality care to children and families.
Responsibilities- Process referrals in line with agreed procedures, ensuring all actions meet defined performance targets and timescales.
- Manage appointment bookings, including updating the electronic record system and issuing appointment letters in accordance with Trust guidelines and targets.
- Prepare and distribute correspondence, such as letters, emails, and memoranda, using standard Trust templates and ensuring accurate filing and recording.
- Provide full administrative support for meetings and investigations, including preparing agendas, taking accurate minutes, and following up on agreed actions.
- Maintain and accurately update Systm One, including entering referral information, scanning and uploading documents from other services, and ensuring all data meets Health Records Standards, Procedures, and the Trust's Record Keeping Policy.
- Manage Outlook emails by following agreed processes, prioritising urgency and importance, and taking responsibility for signposting or responding to queries, often involving sensitive information.
- Provide cover and support for core administrative functions during periods of staff absence, ensuring continuity of service.
