We are currently seeking a highly organised and detail-focused Production Admin Assistant to support our Production department.
Role Overview
The Production Admin Assistant will play a key role in supporting the Production Manager with the day-to-day administration of production work orders. This role is central to ensuring the smooth and accurate flow of production activity, from stock allocation through to workorder completion and certification. The successful candidate will have excellent attention to detail, strong organisational skills, and the ability to work accurately within a regulated, quality-driven manufacturing environment.
Key Responsibilities:
Assist the Production Manager with the day-to-day administration of production work orders.
Allocate correct stock and materials to work orders, ensuring accuracy against bills of materials (BOM) and job requirements.
Monitor workorder progress and liaise with production staff to track completion status.
Check and verify that all workorder requirements have been met prior to closing, including quantities, part numbers, and process signoffs.
Ensure all documentation is complete, accurate, and compliant with company and regulatory (AS9100 / EASA / CAA, as applicable) standards before closure.
Create certification paperwork (e.g. Certificates of Conformity, release notes, traceability records) in line with company procedures and customer requirements.
Maintain accurate and up-to-date records within the company's ERP / MRP system.
Support stock control processes, including identifying and resolving discrepancies between system records and physical stock.
Liaise with Stores, Quality, and Engineering departments to resolve workorder or documentation queries.
File, archive, and maintain production and certification records in accordance with company retention policies.
Assist with general administrative duties within the Production department as required.
Identify and report any discrepancies, non-conformances, or process issues to the Production Manager promptly.
Skills and Experience
Required:
Previous experience in a production administration, stores, or manufacturing support role (aerospace or regulated industry experience is desirable but not essential).
Excellent attention to detail and a methodical, accurate approach to work.
Strong organisational and time-management skills, with the ability to prioritise a varied workload.
Good working knowledge of Microsoft Office (Excel, Word, Outlook).
Experience using ERP / MRP systems (e.g. SAP, Sage, Epicor) is an advantage.
Clear and effective written and verbal communication skills.
Ability to work both independently and collaboratively as part of a team.
A proactive, can-do attitude with a willingness to learn.
Understanding of stock control and traceability principles is beneficial.
Desirable
Qualifications:
GCSEs (or equivalent) including English and Mathematics, Grade C/4 or above.
Previous experience within an aerospace, aviation, or AS9100-accredited manufacturing environment.
Familiarity with certification and quality documentation requirements within a regulated industry.
Additional Information:
This role requires the ability to handle sensitive and safety-critical documentation with a high degree of accuracy and diligence.
Due to the nature of the industry, candidates must be able to demonstrate eligibility to work in the UK and may be subject to security / background checks.
