Modern Mechanical Services is seeking an Operations Coordinator to support our commercial HVAC and growing plumbing operations across all Texas regions. This role is based in our Farmers Branch office and is responsible for managing incoming service requests, scheduling and dispatching technicians, coordinating after hours and on-call coverage, tracking preventive maintenance completion, and maintaining accurate service records.

This position plays a critical role in keeping technicians productive, customers informed, and service operations running smoothly. The Service Operations Coordinator has direct authority to schedule and assign service calls while working closely with field leadership for support and escalation.

Location

Farmers Branch, TX - Primarily in-office with minimal remote flexibility (90/10)

Reports to CEO

Key Responsibilities
  • Answer incoming service calls and emails during business hours
  • Gather job details and create work orders in Service Trade
  • Schedule and assign service calls to technicians in real time
  • Adjust schedules throughout the day as conditions change
  • Manage after hours call routing and escalation
  • Maintain HVAC and plumbing on-call schedules
  • Track monthly preventive maintenance requirements
  • Ensure PMs are completed and documented in Service Trade
  • Maintain accurate records in Service Trade and Service Channel
  • Coordinate work authorizations and purchase orders
  • Use Outlook, Teams, Excel, and customer portals daily
  • Communicate directly with technicians regarding assignments
  • Coordinate with Field Service Managers on capacity and escalations
What This Role Does Not Do
  • Perform HVAC or plumbing work
  • Handle technician discipline or performance review
  • Set pricing or prepare sales quotes
  • Make technical or licensing decisions
Requirements
  • 3+ years experience in service coordination, dispatch, or operations
  • Strong organizational and communication skills
  • Comfortable managing multiple regions and priorities
  • Proficient with Microsoft Outlook, Teams, and Excel
  • Service Trade or similar service software experience preferred
  • HVAC, plumbing, or facilities services experience is a plus
