Executive Assistant - Facility Operations and Utilities

Responsibilities
  • Provide administrative and managerial support to the Senior Director and other directors in the organization.
  • Assist supervisors with onboarding, filling temporary employment needs, and other personnel actions.
  • Monitor vacancy rates, track hiring actions through the process, and report on personnel metrics.
  • Provide administrative oversight and support for other administrative personnel within the organization.
  • Develop processes and standardize record keeping to ensure tasks are completed consistently.
  • Provide executive level administrative support to the Senior Director and Directors; draft and edit correspondence, presentations, and reports as needed.
  • Maintain calendars, schedule meetings, and assist in preparing deliverables for meetings; attend meetings as required and advise on departmental issues.
  • Assist with periodic KPI reviews as directed.
  • Maintain regular, reliable, and non-disruptive attendance and foster collegial, harmonious working relationships.
Minimum Qualifications
  • High School Diploma or equivalent
  • At least four years of experience in related field
  • Proficient in Microsoft Office suite, including Excel and Power Point
Preferred Qualifications
  • Associate’s degree in a relevant field
  • Microsoft certification
  • Experience in a Facilities Management organization
Knowledge, Skills & Abilities
  • Ability to effectively communicate verbally and in writing with staff, directors, department heads, etc.
  • Knowledge of Facility Management processes and organization
  • Knowledge and understanding of HR policies and procedures
  • Excellent written and oral communication skills
Salary Information

$51,021.00
