Executive Assistant - Facility Operations and Utilities

Responsibilities- Provide administrative and managerial support to the Senior Director and other directors in the organization.
- Assist supervisors with onboarding, filling temporary employment needs, and other personnel actions.
- Monitor vacancy rates, track hiring actions through the process, and report on personnel metrics.
- Provide administrative oversight and support for other administrative personnel within the organization.
- Develop processes and standardize record keeping to ensure tasks are completed consistently.
- Provide executive level administrative support to the Senior Director and Directors; draft and edit correspondence, presentations, and reports as needed.
- Maintain calendars, schedule meetings, and assist in preparing deliverables for meetings; attend meetings as required and advise on departmental issues.
- Assist with periodic KPI reviews as directed.
- Maintain regular, reliable, and non-disruptive attendance and foster collegial, harmonious working relationships.
- High School Diploma or equivalent
- At least four years of experience in related field
- Proficient in Microsoft Office suite, including Excel and Power Point
- Associate’s degree in a relevant field
- Microsoft certification
- Experience in a Facilities Management organization
- Ability to effectively communicate verbally and in writing with staff, directors, department heads, etc.
- Knowledge of Facility Management processes and organization
- Knowledge and understanding of HR policies and procedures
- Excellent written and oral communication skills
