Position OverviewThe Sales Executive Administrative Assistant provides high-level administrative and operational support to the Sales Executive and broader sales team, coordinating communication, managing schedules, preparing sales materials, and ensuring smooth day-to-day sales operations. The ideal candidate is detail-oriented, proactive, and capable of handling confidential information with professionalism.
Key Responsibilities Administrative & Executive Support- Manage calendars, schedule meetings, and coordinate travel arrangements for the Sales Executive.
- Prepare, edit, and organize documents, presentations, and reports.
- Handle incoming communications, respond to inquiries, and prioritize messages on behalf of the Sales Executive.
- Maintain organized records, files, and documentation.
- Assist in the preparation of proposals, quotes, contracts, and sales materials.
- Track sales metrics, update CRM records, and generate regular performance reports.
- Coordinate follow-ups with clients, prospects, and internal teams.
- Support the onboarding of new clients by preparing necessary documentation.
- Serve as a liaison between the Sales Executive, clients, and internal departments.
- Facilitate communication to ensure timely flow of information.
- Assist in organizing sales team meetings, setting agendas, and capturing meeting notes.
- Support planning of sales events, conferences, webinars, and client meetings.
- Coordinate logistics for internal and external sales initiatives.
- Help manage special projects assigned by leadership.
- 5+ years of administrative or sales support experience (or related field).
- Knowledge of sales processes and workflows.
- Strong organizational and time-management skills.
- Comfortable handling confidential or sensitive information.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software (e.g., Salesforce, Hub Spot).
- Ability to multitask, prioritize, and maintain professionalism in a fast-paced environment.
