* Essential Functions:
*** Types correspondence and required College forms for the Medical Assisting Program, Surgical Technology, STNA, and Nursing programs as needed.
* Procures and manages office supplies through the electronic ordering system.
* Maintain files/records for the Medical Assisting, Surgical Technology, STNA, and Nursing programs as needed.
* Answer and screen telephone calls, takes messages and handles exchange of information as appropriate for the Assistant Chairs, Chair. Takes messages and makes appointments according to established guidelines. Appropriately greets students and visitors.
* Coordinate faculty correspondence distribution system and provides assistance to faculty in preparation of institutional materials, correspondence, and student activities/events.
* Provide support to the Assistant Chairs, Chair in accreditation studies/visits and related reports, program review and evaluation reports, board reports, or other special reports/projects.
* Maintains program and student files, including correspondence, interoffice communications, accreditation, state reports, advising, etc.
* Assists Chairs and faculty in preparation for Advisory Committee Meetings or other special faculty events. Takes minutes at Advisory Committee Meetings.
* Trains and coordinates work of student office employees as necessary.
* Maintain calendars and schedules meetings according to the general guidelines of the Assistant Chairs, Chair, and Dean. Reserve meeting rooms per the established guidelines and arranges refreshments as appropriate.
* Assist in the coordination of professional practice site and student materials.
* Copies and distributes program and course related materials.
* Assists in the preparation of program handbooks.
* Assists in planning program orientation sessions.
* Maintains copy machine, fax machine, shredder and supplies. Arranges for service when necessary.
* Other duties related to selective health programs as assigned.
* Coordinates and submits electronic student lists to the designated external company in accordance with required formats and deadlines.
** Knowledge, Skills, and Abilities:
*** Technical proficiency of office support software. Understanding/knowledge of selective health program records and admission requirements preferred.
* Strong computer skills in general office administration. Strong organizational skills and personal communication when interactive with other employees and students.
* Ability to use Office products - Word, Excel, PowerPoint required. Knowledge of Workday system preferred.
* Strong written and verbal communication skills, ability to deal effectively with faculty, staff and students.
* Ability to work independently, and have to prioritize tasks/projects

* Minimum Requirements:
*** High School Diploma or equivalent (G.E.D.)
* Good communication skills.
* Experience working in a busy office for at least one year.
* Ability to work well under pressure.
* Must be computer literate and have expertise in working with Microsoft Office Suite and other computer software programs, ability to create graphs, charts and reports.
