Your Contribution
  • Provide the highest quality support services to veterans
  • Participate in facility meetings, training sessions, and the implementation of the Arizona Management System (AMS) to achieve continuous improvement and efficiency

Job Duties
  • Coordinate and complete a wide variety of administrative support and secretarial functions, anticipating the needs of the Administrator and the Director of Nursing
  • Handle sensitive issues tactfully and discretely while maintaining confidentiality
  • Compose responses to routine correspondence and prepare confidential correspondence
  • Prepare a variety of reports and maintain administrative file systems and records
  • Maintain records for survey purposes
  • Prepare agendas, attend meetings, take and transcribe minutes
  • Conduct research and complete special projects to support the direct reports of the Administrator
  • Order office supplies and other items
  • Assist in the recruitment process, schedule interviews, conduct reference checks, and prepare hiring packets
  • Maintain an appointment calendar for the Administrator and the Director of Nursing, and schedule conference rooms for internal and external use
  • Coordinate training sessions and administrative meetings and complete special projects as assigned by the Administrator or the Director of Nursing
  • Receive and route correspondence to appropriate staff for action
  • Maintain a filing system to ensure that responses meet established deadlines
  • Answer telephones, take messages, and respond to routine inquiries and requests

Selective Preference

Previous experience providing administrative support to an executive leader.

Pre‑Employment Requirements

This position requires the ability to drive on State business. The employee must possess a current, valid state‑issued driver’s license appropriate to the assignment, undergo driver‑license record checks, maintain an acceptable driving record, and complete any required driver training. All newly hired State employees must successfully complete the Electronic Employment Eligibility Verification Program (E‑Verify).
