An exciting opportunity has arisen for a Stores and Parts Coordinator to support the efficient operation of the Council's Fleet Transport Workshop. The successful candidate will be responsible for coordinating the procurement, storage, and distribution of vehicle parts and workshop supplies, ensuring that technicians have access to the materials required to maintain and repair the Council's fleet.
The role involves managing stock levels through the fleet management system (currently Jaama Key2), maintaining accurate inventory records, carrying out regular stock takes, and ensuring the timely receipt, issue, and replenishment of parts. The post holder will also support technicians by identifying the correct technical parts, sourcing suitable alternatives where necessary, and maintaining up-to-date parts catalogues.
Working closely with the Transport Manager, the successful candidate will help oversee all aspects of the stores operation, including procurement, stock control, disposal of obsolete items, invoice verification, and financial administration. The role also requires monitoring orders and deliveries to maximise workshop efficiency, ensuring goods received meet quality standards, and managing supplier returns where required.
The post holder will contribute to effective budget management by monitoring stores expenditure and ensuring compliance with the Council's financial procedures. They will also be responsible for maintaining safe and secure stores operations, ensuring compliance with health and safety legislation, managing stocks of personal protective equipment (PPE) and workwear, and implementing new health and safety requirements where appropriate.
In addition, the role includes supporting service improvement projects, providing management information, liaising with Procurement and suppliers on contractual matters, and operating the automated oil dispensing system while maintaining accurate fuel and oil usage records.
This role would suit an organised and proactive individual with strong stock control and procurement experience, excellent attention to detail, effective IT and record-keeping skills, and the ability to work collaboratively in a busy workshop environment.

What we expect from youThe successful candidate will have experience working within a motor vehicle maintenance environment, with a strong understanding of vehicle parts, procurement, and stock control procedures. Experience using an electronic stores or fleet procurement system, such as Jaama Key2 or a similar system, is essential, along with practical materials handling experience.
You will be an organised and proactive individual with excellent communication skills, able to build effective working relationships with colleagues, suppliers, and customers. You will be confident communicating by telephone, in person, and in writing, with the ability to manage procurement enquiries and resolve issues professionally.
Strong numeracy and IT skills are essential, with the ability to monitor budgets, maintain accurate records, and use computer systems effectively. You will be able to work independently, prioritise competing demands, and consistently deliver excellent customer service in a busy operational environment.
You will have sound technical knowledge of vehicle maintenance and replacement parts, together with a good understanding of stores management and procurement processes. Experience of supporting or training apprentices would be an advantage.
