Job Information

Job Title: Building & Grounds/Finance Secretary
Location: Central Office
Reports To: Central Office Administration
Salary: $21.00 - $23.00 per hour (commensurate with education and experience)
Term: Full-time; 12 months

Qualifications
  • Associates/Bachelor's degree preferred
  • Accounting experience preferred
  • Accounts receivable and general ledger experience
  • Proficiency in Microsoft Office Suite and Google Apps G Suite
  • Experience with Power School’s B-Plus software preferred
  • Ability to work independently and make good decisions in accordance with established policies and procedures
  • MSBO Certification in a business office specialty is preferred. (Required within five years of employment)
Building and Grounds Responsibilities
  • Maintain records, key distribution, new employee requirements, and documentation
  • Track inventory of supplies and equipment, ordering custodial supplies as needed
  • Assist with documentation related to safety, compliance, and facility repairs/inspections
  • Maintain building use procedures, calendars, and communication with facility usage
  • Issue keys/badges and track building access
  • Manage/schedule facilities usage, issue permits, and collect charges
  • Coordinate maintenance and custodial staffing schedules, time tracking, and substitute scheduling
  • Maintain updated MSDS Binders for each building
  • Process time sheets for District employees
  • Track district contracted labor and reconcile to billings
  • Prepare annual tax documentation for District programs
  • Track utility usage and fees
  • Other duties as assigned
Financial Responsibilities
  • Process invoices, purchase orders, and check requests
  • Assist with budget tracking, expense reporting, and financial record keeping
  • Maintain accurate vendor files and contracts
  • Support payroll and attendance reporting
  • Provide general office support, including phone reception, filing, and correspondence
  • Prepare GSRP contracts, verify ESS sub hours, and earned building sub hours
  • Collect and verify employee timesheets (from multiple groups) and process sick/vacation time
  • Perform month-end closing activities to aid in monthly financial closeout procedures
Additional Financial Responsibilities
  • Prepare monthly recurring manual journal entries
  • Assist in implementing and monitoring internal controls
  • Assist and/or serve as backup for the accounts payable function
  • Prepare various financial reports and analyses as needed

    Prepare schedules, gather information, and assist in the annual financial audit as needed
  • Oversee credit card processing and monthly reconciliation
  • Assists district personnel with identifying, analyzing, and troubleshooting accounting questions
  • Other duties as assigned
Physical Demands
  • The employee must occasionally lift and move up to 25 pounds in supplies, which requires bending, stooping, and lifting
  • The employee must use keyboards, tools, and other controls
  • The employee must sit and stand for long periods of time
  • The employee must be able to move about the District unaided during the day when necessary
