Monday through Friday, 8:00 a.m. – 5:00 p.m. (40 hours per week)
The Medical Secretary provides essential clerical support to the clinical team, ensuring accurate patient records, efficient appointment scheduling, and professional communication with patients, client agencies, physicians, and consultants.
Key Responsibilities- Compile and record medical charts, reports, and correspondence.
- Answer telephone calls, schedule appointments, and greet and direct patients and visitors.
- Assist new patients with completing medical history and information forms and confirm insurance eligibility.
- Obtain pre‑authorization and pre‑certification from insurance companies for procedures and medications.
- Coordinate with primary‑care physician offices for HMO referrals and tests/medications that need to be administered in the PCP office.
- Retrieve patient information from hospital software for admissions, surgical consultations, test results, and ER reports, and scan them into the electronic medical files.
- Communicate tasking information to nurses and physicians as needed.
- Accept co‑pays and patient account payments, posting them to the patient’s electronic record.
- Batch clinical paperwork and update billing records daily to keep data current.
- Make appointment reminder calls 24 hours before visits and communicate co‑pays, test results, and referrals.
- Perform other position‑related duties as assigned.
- Certification in Front Office Administration preferred.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Problem‑solving skills.
- Knowledge of healthcare systems operations such as EMR.
- Computer literacy, including Microsoft Office.
- Customer‑oriented and calm under difficult situations.
- Independent work and ability to manage multiple deadlines.
- Knowledge of medical terminology.
- Typing speed no less than 55 wpm.
- HIPAA compliance for patient confidentiality.
- High School Diploma or equivalent required.
- Associate’s Degree or vocational/technical training preferred.
- 1–3 years’ experience in a physician office setting, preferably within the urology specialty.
