Office Coordinator - Construction

The Office Coordinator manages office communications and facilitates key departmental tasks within the construction and facilities environment. The role requires strong experience in facility maintenance and/or construction office administration.

- Financial duties:
- Maintain departmental checkbook, accurately record all expenses and prepare month‑end reporting.
- Prepare and submit invoices for all billable work performed by the engineering department, ensuring timely posting to owner accounts.
- Assist with weekly payroll reporting to ensure accurate and timely submissions.
- Inventories and supplies:
- Order stock parts and supplies to maintain established par levels on a monthly basis while respecting budgeted expenses.
- Sourcing custom and one‑off parts to reduce downtime on guest units and equipment.
- Vendor coordination:
- Assisting in procuring proposals or multiple bids when third‑party contractors are required for repairs and maintenance.
- Scheduling third‑party contractors and effectively communicating scheduled work with all necessary resort departments.
- Record keeping:
- Maintain and file all state‑required inspections and coordinate schedules of responsible vendors to ensure ongoing compliance.
- Maintain and coordinate facility maintenance contracts (pest control, grease trap servicing, equipment service contracts, kitchen hood cleaning).
- High School Diploma/GED and at least one (1) year of resort operations support experience; or an equivalent combination of education, training, and experience.
- Proficiency in Office 365 and a keystroke speed of 50 wpm without error.
- Strong written and verbal communication skills.
- Fast‑paced, deadline‑driven environment.
- Mobility to work in an office setting using standard office equipment.
- Stamina to sit for extended periods.
- Capability to lift and carry up to 20 pounds.
- Vision to read printed materials and computer screens; hearing and clear speech for communication.
- Ability to work under varying weather conditions, including high temperatures and humidity.
- Day and time schedule may vary; not a remote position.
