Overview:
Support Staff performs basic office duties for program staff, including answering phones, maintaining the office logging system, assisting with scheduling, and other clerical tasks to help the program run smoothly. The role requires strong customer service skills as the first point of contact for clients and outside callers and visitors, handling various tasks related to the maintenance of office systems, records, files, logs, and client charts according to established guidelines.

Job‑Specific Duties and Responsibilities
Serves as receptionist, answering, screening, and routing calls for assigned staff. Consults with supervisor regarding communications received and relays messages as necessary. Must conduct themselves in a manner that reflects favorably and professionally upon the Center and employees. The Support Staff identifies client needs and contacts appropriate staff to respond to client questions and concerns promptly. All customers are treated with courtesy, respect, and dignity in a caring and professional manner.Conducts client financial assessments and performs administrative intakes, gathering data for financial eligibility and insurance fees while working with the Financial Service Department. Sets client fees in accordance with policy, performs fee collections and issues receipts, prepares deposits, maintains petty cash, and routes to accounting. Works with Program Supervisor to manage write‑offs and communicates any changes in client insurance status with the Financial Service Department.Scans necessary paper documents into Avatar based on the Scanning Document Guideline within 48 hours of receipt, titling them accurately for easy access. Checks the HIE system daily to distribute received faxes to the appropriate staff.Has knowledge of all SOP policies and procedures and HIPAA regulations, respecting and ensuring the protection of client rights and confidentiality/privacy.Serves as Safety Officer Designee for the program, assisting the Safety Officer/Program Supervisor to ensure required drills are completed timely and bringing safety concerns to the Program Supervisor to promote a safe, orderly, and therapeutic environment.Qualifications
Education/
Experience:
- High school diploma or equivalent.
- One year secretarial/clerical experience. Must possess a typing score of at least 55 CWPM.
