As a team member with Lakeview Terrace, you will provide services to our residents that call LVT home.

PurposeThe Administrative Sales Assistant manages all marketing collaterals and assemble as needed; including but not limited to Waitlist and Endowment Contracts. Performs clerical tasks for marketing, such as typing, filing, and making copies. This position will provide administrative support to the Sales Department and the Executive Director in daily tasks and will aide in the essential administrative requirements of Lakeview Terrace residents and staff.
Proactively manage leads daily from Future Callbacks. Complete the monthly email and mail out list to Waitlist. Complete new resident biographies.
Schedule appointments for Retirement Counselor. Pair guests with LVT compatible resident hosts for meals: ensuring a great connection and “sell” on the community. Schedule home showings. Mail marketing correspondence; collect and distribute in-coming correspondence for marketing department.
Complete correct data entry, update prospective resident information in Lead Management Program and include scheduled follow up dates. Verify tours and lead cards completed by Retirement Counselor and ones received by mail.
Retrieve and welcome marketing guests who come for appointments and unexpected walk‑ins. Provide a comprehensive tour of the community along with an introductory question and answer session with them when the Retirement Counsellor or Sales Assistant is not available. Assess their needs. Share all information with the Retirement Counsellor. For walk‑ins, create a record in the Lead Management Program
-and begin the follow up-process.
Notify Security of guests for the following day. Update any changes for current or next day as necessary. Coordinate with Dietary department for guest meals.
Maintain assigned golf cart.
Order items needed for Marketing guests (bottled water, sodas, coffee, etc.). Assemble brochure packets to ensure supplies are stocked.
Completes required training, Sales Staff Meetings, and attends All Staff meetings. Completes required online trainings.
Complete other duties as assigned by supervisor.
Required QualificationHigh School Diploma/GED required.
Two years clerical/administrative experience required.
Preferred QualificationsAssociate’s Degree preferred.
Four years clerical/administrative experience preferred.
