Part‑time Office Coordinator

Tallahassee, FL

Overview

WSP is seeking a Part‑time Office Coordinator to support Team 6 in our Tallahassee, FL office. The coordinator will handle administrative duties, event coordination, and general office upkeep while fostering an efficient and welcoming work environment.

Responsibilities
  • Provide administrative support, including scheduling and minute drafting, and coordinate office or project site activities.
  • Manage office upkeep and liaise with building management for maintenance and parking access.
  • Serve as receptionist: answer calls, maintain phone list, and greet guests.
  • Process incoming and outgoing U.S. mail and faxes.
  • Assist with ordering computers, accessories, office supplies, and business cards.
  • Support new‑hire onboarding (I‑9, IT equipment, security cards).
  • Coordinate onsite training events with vendors and webinars.
  • Maintain safety and compliance programs (bulletins, fire extinguisher inspections, AED/CPR certification, first‑aid kits).
  • Participate in project tasks: track task orders and contracts, maintain project plans, review reports, and handle field‑work coordination.
  • Assist office leaders with financial reports and budget summaries.
  • Support marketing lead RFP tracking and proposal timelines.
  • Process accounts payable and sub‑queue invoices.
  • Serve as on‑site IT point of contact for Service Desk coordination.
Required Qualifications
  • 3+ years of administrative support experience (Associate’s Degree may substitute 1 year).
  • High school diploma or GED.
  • Self‑starter ability to work with minimal supervision.
  • Excellent professionalism, interpersonal and written communication skills.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Capacity to manage multiple tasks in a fast‑paced environment.
  • Strong team player with discretion and confidentiality.
  • Technological aptitude for data entry, calendar management, and report creation.
  • Ethical decision‑making aligned with WSP’s Code of Conduct.
  • Commitment to WSP health, safety, and anti‑harassment policies.
Preferred Qualifications
  • Experience in the consulting industry.
  • Knowledge of Oracle and Adobe Professional.
