The Executive Administrative Assistant will facilitate the operation of the assigned department by performing a variety of clerical and supportive tasks as set forth by the administration for Calhoun Liberty Hospital (CLH). The colleague will offer support to other colleagues, vendors and business partners, assist in daily office needs and provide assistance to CLH administration as required.
Responsibilities- Coordinate with board members and keeps them informed of happenings regarding board meetings and events
- Takes minutes accurately and transcribes them in a timely fashion; records all votes taken
- Coordinates with Dietary leadership and staff to cater board meetings, as well as other gatherings
- Creates, maintains, and fills in presentation templates for a variety of meetings, including town halls and board meetings
- Puts together digital board packets to send out ahead of board meetings, as well as puts together physical board packets for those attending the meeting inperson
- Maintains daily reporting spreadsheet and coordinates with department leaders when data is missing
- Accurately files Sun Biz annual reports with the State of Florida; makes timely amendments as needed
- Coordinates with CEO and other leadership as needed to maintain their calendars and schedule meetings
- Creates and coordinates colleague engagement events for recognition days, recognition weeks, and other events as needed
- Assists departments in digitizing, updating, and organizing policies and procedures
- Works alongside the Director of Plant Operations to aid in the maintenance of the Emergency Plan housed inside FLHCC BOLD Planning
- Digitizes, organizes, and maintains documents within the shared folders hosted on Share Point
- Organizes, distributes, and sends out mail and packages in a timely fashion; knowledgeable in the operation of electronic postage maker to create shipping labels and stamp envelopes
- Creates and maintains a labor pool consisting of available personnel in case of an emergency
- Identifies and coordinates Lean Six Sigma training for select leadership
- Maintains strict confidentiality between what is discussed with leadership; information is not to be disseminated unless instructed by the CEO
- All other duties as assigned
- Bachelor’s Degree Preferred
- High School Diploma or GED
- Proficient in Microsoft Office Suite
- Excellent listening and communication skills
- Ability to speak, read, and write the English language
