Location: Sarasota

Essential Duties and Responsibilities: The Office Manager will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, compliance, and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation.

Essential Functions
  • Ensure proper collections for services rendered; copays, deductibles, co-insurance and balances.
  • Manage/correct employee timecards and PTO.
  • Maintain the staffing schedule for office location.
  • Oversee IT within office location and provide low-level basic IT support.
  • Coordinate and oversee all maintenance for office location.
  • Inventory and order all supplies, products and materials for office location.
  • Monitor and evaluate office facility continually, including maintaining any licenses with expirations, timely updating of marketing materials and monthly specials, OSHA and HIPAA regulations and updates, biohazard regulations and annual inspections.
  • Ensure that all employee manual guidelines are followed by employees and enforce as necessary.
  • Partner with HR to maintain office policies as necessary.
  • Facilitate events including cosmetic events, staff and holiday events, etc.
  • Assist with clinical and front desk duties as needed.
Education and/or Work Experience Requirements
  • Education:

    Bachelor’s Degree; experience may be considered in lieu of degree requirement.
  • Experience managing a high-volume, complex clinical office.
  • Knowledge of office management responsibilities, systems and procedures.
  • Knowledge of insurance verifications and referral pre-authorizations process.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficient in MS Office.
  • Knowledge of accounting, data and administrative management practices and procedures.
  • Knowledge of clerical practices and procedures.
  • Knowledge of human resources management practices and procedures.
  • Knowledge of business and management principles.
  • 3+ years of dermatology experience.
Physical Requirements

Must be able to spend a great deal of the day walking, standing, moving and manipulating equipment, as well as lifting and moving objects, equipment and supplies. It is reasonable to anticipate lifting 20-25 pounds in any given day.
