This is a select exempt service position within the Division of Habitat and Species Conservation (HSC) that reports directly to the Division Director. The incumbent also provides administrative support for the two Deputy Directors of HSC. This position requires the ability to independently complete a variety of complex and technical duties with minimum supervision. Must be knowledgeable of the overall operations of the Commission, its regional and field offices, and other Divisions in order to be responsive to the general public, administrative staff, and other Commission employees.
- Performs specialized project work as assigned by the Division Director and Deputy Division Directors.
- Coordinates staff assignments for Director and Deputy Directors to ensure projects and assignments are completed and submitted in a timely manner.
- Responsible for the scheduling and coordination of meetings, travel, and other functions for the Division Director and Deputy Directors.
- Serves as liaison between HSC and the Executive Director’s Office on scheduling legal, human relations, inspector general, legislative, and planning issues.
- Reviews and coordinates the preparation of Commission meeting related documents and assignments such as executive director reports, back-up for presentations, etc.
- Research and compiles documents and statistical reports and coordinates with staff on assignments for Commission and Division meetings to ensure materials are accurate and submitted for Director’s review in a timely manner.
- The incumbent of this position represents HSC on a variety of agency teams.
- Serves as point of contact for the Executive Director’s Office for tracking assignments made through the correspondence control system.
- Reviews and edits correspondence to ensure accuracy, uniformity and that deadlines are met.
- Assists staff members in gathering and compiling information as requested.
- Serves as the Division Public Records Request liaison and process expert, working with Section liaisons to ensure consistent and timely processing of public records requests.
- Serves as lead administrative assistant for HSC. Identifies opportunities and makes recommendations for enhancing HSC support functions.
- Serves as office manager with other HSC administrative staff to ensure efficient communication, reconciliation of problems, and advise staff on policies and procedures related to correspondence preparation and routing, etc.
- Performs other duties as assigned.
- Knowledge of Microsoft Office applications, including Word, Excel, Outlook, SharePoint, and Teams.
- Knowledge of the methods of data collection and analysis.
- Knowledge of administrative and clerical procedures, principles, and practices.
- Ability to manage a large workflow and set appropriate priorities.
- Ability to prepare correspondence and technical reports.
- Ability to work independently and manage time efficiently.
- Ability to plan, organize, and coordinate work assignments.
- Ability to establish and maintain effective working relationships with others.
- Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document workflow and other activities relating to the improvement of operational and management practices.
- Ability to conduct fact‑finding research and utilize problem‑solving techniques.
- Ability to understand and apply applicable rules, regulations, policies, and procedures relating to operational and management analysis activities.
- Ability to communicate effectively both orally and in writing.
- Ability to establish and maintain effective working relationships with others.
