The Division of Hotels & Restaurants (H&R) licenses, inspects, and regulates public lodging and food service establishments in Florida under Chapter 509, Florida Statutes. The division also licenses and regulates elevators, escalators and other vertical conveyance devices under Chapter 399, FS. The division’s three bureaus – Sanitation and Safety Inspections, Licensing, and Elevator Safety – comprise a team of approximately 360 personnel who fulfill the regulatory obligations throughout the state.

Job Overview

The Bureau of Elevator Safety seeks a highly motivated individual with excellent customer service experience. Candidates must independently exercise professional judgment and communicate effectively, both verbally and in writing.

Work Responsibilities

Process records related to monitoring, delinquencies, elevator companies, professional credentialing, and change of record forms; process inspection records to ensure completion and submit for licensure approval or conduct further research if needed.

Maintain up‑to‑date accident reporting information and enter data into Versa:
Regulation. Assist with office functions including scanning, indexing inspection reports, data entry, and answering phones for inspectors and the public.

Process routine correspondence, emails, faxes, and prepare replies or investigate further. Handle incoming and outgoing mail.

Monitors electronic submittal of inspection records from elevator inspection companies; provide quality assurance by checking for upload errors and communicate with customers to ensure proper data upload.

Responsible for scanning and quality control of elevator inspections using the Anydoc scanning application system; report problems and anomalies to the supervisor for investigation.

Manage mailing, tracking, and monitoring of Oversight Inspection Findings Summary (OIFS) paperwork; record OIFS responses in the tracking database and circulate to bureau staff for quality assurance review.

Assist with monitoring and responding to inquiries from the bureau’s email inbox, including complaints and escalations. Represent the bureau in technology‑related meetings concerning the Anydoc system and perform related duties using Versa:
Regulation and OnBase.

Review vehicle reports and associated paperwork and work with BES drivers to obtain needed documentation prior to Deputy Chief approval.

Perform other related duties as required.

Knowledge, Skills & Abilities

Knowledge of laws, rules, policies, and procedures applicable to the Bureau of Elevator Safety; skills in data collection, including statistical reports; ability to prepare correspondence and administrative reports; understand and apply rules and regulations; plan and coordinate individual work assignments; communicate effectively in writing and verbally; work independently with high organization and professionalism; interact productively with employees, regulated industries, and the public;

and integrate use of software and desktop/portable hardware such as spreadsheets, word processing, scheduling, email, licensing, and internet applications.

Minimum Requirements
  • Two years of general office experience.
  • Two years of experience using Microsoft Office Suites (Word, Excel, Access, Outlook).
  • Two years of customer service experience.
