ResponsibilitiesCoordinates and maintains student files and all related components for the Sport Psychology program (Master's and doctoral levels) from initial contact as applicants, through their graduation from the program, and beyond. Admission tasks, which occur on an annual cycle for Fall admission, include but are not limited to: preparing and regularly updating standard communication letters for applicants to be uploaded to Slate, communicating with applicants by e‑mail and phone;
calculating GPAs for faculty review; alerting faculty about strong completed applicant files for fellowship consideration; sending related admissions paperwork to OASIS for processing and serves as liaison with that office. Maintaining and evaluating admission statistics for the Sport Psychology program, including GRE score tracking, GPA tracking, and related information; reporting on admissions activities to the Sport Psychology faculty. Converts admissions files into permanent student files and maintains updated and accurate inventories of these files.
Communicates graduation lists to Sport Psychology coordinators. Recommends policies and procedures related to admissions activities in Sport Psychology. Assists with academic advising activities of the Sport Psychology program.
Processes travel for the Educational Psychology and Learning Systems department. Travel tasks include but are not limited to: entering T‑auths and Expense reports for approval in Concur; collecting back‑up receipts and other required documentation for travel processing; maintaining accurate records of all travel T‑auths and Expense reports. Communicates with travelers regarding necessary documentation. Requires knowledge of various budgets related to travel (E&G, Auxiliary, C&G, Foundation), several of which are outside the department.
Processes non‑travel reimbursements in Concur as required.
Creates and maintains the Course Schedule Master (CSM) each semester for entire EPLS department, working with faculty program coordinators and Associate Chair to gather accurate and complete data for CSM building. Processes Drop/Add slips, DIS, preliminary exams, dissertation hours, defenses, and similar coursework for all students in the Counselor Education and Combined PhD in Counseling and School Psychology programs. Advises students on policies and procedures related to coursework, Drop/Add, defenses, deadlines, timelines, signatures, programs of study, and all other registration and academically related matters.
Processes departmental textbook orders each semester in conjunction with CSM building.
Assists Senior Administrative Specialist with tuition waiver entry and tracking, FACET and AOR activities, Promotion and Tenure activities and serves as secondary attendance and leave representative.
Serves as P-card proxy for the department, reconciles weekly charges against receipts and submits monthly reconciliation report with back‑up to the Purchasing Department.
QualificationsHigh school diploma or equivalent and four years of experience. (
