The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. The role includes delinquency and collection of rent to optimize the property's cash flow, as well as managing all phases of operations—personnel, leasing, maintenance, financial, administration, and risk management—in the absence of the Community Manager. The on‑site leader supervises all aspects of the property and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability concerns.
Essential Duties & Responsibilities Financial Management- Post all payments and income from applicants, current residents, and non‑current residents accurately, timely, and efficiently.
- Process and reconcile daily all account receivables.
- Monitor and follow up on bad debt, including preparation of late notices, resident and guarantor contact, and filing evictions.
- Help the property meet budgeted revenues, expenses, and Net Operating Income.
- Post all charges to resident and non‑current resident accounts, including bill‑back of utilities where applicable.
- Perform end‑of‑month closing procedures and reporting.
- Maintain accurate and organized records; audit resident files to ensure accuracy.
- Walk units and post all move‑out charges, statements, and security deposit refunds.
- Regular/daily onsite attendance is required.
- Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
- Ensure staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
- Promote harmony and quality job performance of staff through support and effective leadership.
- Ensure staff compliance and consistency with company policies and procedures.
- Implement strategic leasing management, ensuring effective leasing techniques, closing, follow‑up procedures, lease documentation, and reporting.
- Implement marketing strategies and systems as outlined by the annual marketing plan.
- Handle resident complaints, concerns, and requests to ensure resident satisfaction.
- Develop and implement resident retention programs such as resident functions, special promotions, and monthly newsletters.
- Effectively show, lease, and move in prospective residents.
- Manage excellent customer service and monitor service request turnaround and responsiveness of maintenance staff.
- Maintain property appearance and ensure repairs are completed on a timely basis through regular inspections and tours.
