Overview

This highly independent position serves as the Volunteer Services Coordinator for the Florida Department of Elder Affairs, within the Bureau of Elder Rights and the Office of Volunteer & Community Service. Work is performed with considerable independence under the direction of the Elder Rights Bureau Chief and in support of the department's vision and mission. The Volunteer Services Coordination works in close collaboration with the Bureau Chief and all other Elder Rights staff members to achieve these goals.

Pay

Salary will be $50,584.68, annually.

Duties and Responsibilities

Acting in the capacity of Volunteer Services Coordinator for the department, this position ensures appropriate screening, communication, recognition, evaluation, and remediation processes are in place for all volunteers. Manages volunteers, volunteer partner agencies, coordinates with internal and external volunteer programs, manages reports, and develops volunteer-related policies and procedures in coordination with other Department volunteer management professionals. Seek out community opportunities with civic, public, private, and organizational groups of any size to provide educational presentations to increase community awareness of how volunteerism contributes and benefits the community, and the types of volunteer opportunities that are available.

Plans and facilitates retention activities designed to continually support and engage the existing volunteer base. Utilizes designated evaluation tools, surveys, and conducts regular volunteer competency reviews to assess each volunteer’s ability to appropriately provide services and demonstrate/abide by program guidelines and expectations. Works in collaboration with the Elder Rights Bureau Chief to monitor volunteer status (i.e., active vs. inactive, background checks, assignments, etc.).

The Volunteer Services Coordinator acts as the first point of contact for all volunteers and volunteer concerns. Maintains volunteer data in the volunteer directory and works with local partners/Program Coordinators to ensure that volunteer data listed in those systems is up-to-date and accurate, and that volunteer assignments meet local program needs. Processes and maintains all new volunteer applications, volunteer screening guides, coordinates background clearances, training rosters, volunteer status changes, develops and manages all volunteer correspondence, volunteer appointments, and volunteer resignations.

Works in collaboration with the Elder Rights Bureau Chief to ensure proper training and onboarding protocols for all volunteers. Researches, develops, and improves upon volunteer management processes. Researches and identifies methods to improve support of the volunteer counselor workforce.

Works in collaboration with the Bureau Chief to coordinate and plan for volunteer meetings, including quarterly meetings, statewide volunteer training meetings, and other events as assigned.

Specific responsibilities include:

  • Works closely with the Elder Rights Bureau Chief and leadership to promote and coordinate volunteer events, including training and outreach, to promote and support department volunteer program publicity and recruitment goals.
  • Responsible for publicizing the volunteer programs, in coordination with the department's Communications Office, to inform appropriate groups and citizens in their community about services and volunteer opportunities.
  • Identifying and maintaining a working knowledge of available community volunteer resources to meet the individual needs of each senior and ensuring the connection of seniors and caregivers to relevant community resources and support offered by volunteer programs statewide.
  • Preparing correspondence, case notes, narratives, technical reports, notifications, and related documents using computer-based applications.
  • Building and maintaining relationships with respect, trust, sensitivity, and confidentiality with customers, coworkers, and community stakeholders and partners.
